Role Description
We are looking for an energetic & professional candidate as Executive assistance to our Company Vice president. This is a full-time on-site role, based in Riyadh, Saudi Arabia, as a Secretary position. The Secretary will manage administrative and clerical tasks, support executives with daily schedules and correspondence, handle communications, maintain records, and ensure smooth office operations. Responsibilities include liaising with clients, organizing meetings, preparing documents, and offering professional customer service to internal and external stakeholders.
- Promote, work, and act in a consistent manner with the mission of foodsmith
- Managing the VP's day-to-day schedule, appointments, and travel, prioritizing urgent matters
- Organizing meetings, preparing agendas, distributing materials, recording minutes, tracking action items, and arranging catering/logistics.
- Acting as the primary point of contact between the VP and internal departments, external stakeholders, and clients
- Drafting correspondence (memos, reports, presentations), and serving as a liaison for the VP.
- Maintaining accurate business records, handling confidential files, and preparing reports and presentations
- Coordinating domestic and international travel, creating itineraries, and processing expense reports.
- Assisting with special projects, tracking deadlines, and ensuring deliverables are met
- Overseeing administrative processes and potentially supervising junior staff.
- Conducting research, compiling data, and supporting the VP in strategic planning and decision-making
- Maintaining confidential filing systems and managing proprietary data with high discretion
- Coordinating executive meetings, preparing agendas, compiling board packs, and recording detailed minutes of meeting
Qualifications
- Strong clerical skills, including organization, record-keeping, and document preparation
- Excellent written and verbal communication skills for effective interaction with clients and team members
- High level of discretion, proactive problem-solving, and the ability to multitask in fast-paced environments
- Discretion and professionalism with confidential information.
- Proactive, problem-solving, and time-management abilities
- Previous experience or proficiency in company secretarial work and executive administrative assistance is a plus
- Exceptional customer service skills and ability to maintain a professional demeanor with clients and stakeholders
- Proficient in using office software and tools for scheduling and documentation
- High-level organizational skills & attention to detail.
- High attention to detail, time management, and adaptability in a dynamic work environment
- Fluency in English is required, and proficiency in additional languages, especially Arabic, is a plus
