Job Overview:

The Secretary to the General Manager will provide comprehensive administrative and secretarial support to the General Manager (GM). This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Secretary will be responsible for managing communications, organizing schedules, preparing documents, and assisting with day-to-day operations to ensure the smooth functioning of the GM's office.

Responsibilities:

  • Oversee the day-to-day operations of the GM's office, ensuring efficient workflow and organization.
  • Perform clerical tasks such as filing, photocopying, data entry, and maintaining records in an organized system.
  • Draft, proofread, and format correspondence, memos, and reports for the GM.
  • Ensure all documents are properly filed, archived, and easily accessible when needed.
  • Record and distribute meeting minutes and follow up on action items as required.
  • Manage phone calls, emails, and other communications for the GM, ensuring timely responses or appropriate forwarding.
  • Greet visitors, ensuring they are directed to the correct person or department, while maintaining a professional environment.
  • Monitor and maintain office supplies, ensuring that necessary items are ordered and available when needed.
  • Provide support in organizing the GM's calendar by confirming appointments, meetings, and deadlines.
  • Alert the GM to upcoming meetings making sure all necessary arrangements are in place.
  • Perform general office tasks such as sorting mail, filing, organizing meetings, and maintaining a tidy work environment.

Qualifications

  • Bachelor's degree in business administration, or a similar field.
  • Graduation from a language school
  • 3+ years of experience.
  • Excellent in English & French
  • Proficiency in Microsoft Excel, Word, and Outlook.
