Job Title: Senior Administration Officer - Transport & Facilities (Male Candidate)
Job Summary
The Senior Administration Officer -responsible for managing end-to-end transport operations and facility services with a primary focus on night shift operations (11:00 PM - 8:00 AM, may vary as per business requirement). This role ensures uninterrupted business operations during night hours by delivering reliable transport services, maintaining workplace safety, and efficiently managing facilities with strong operational control and quick decision-making. The role includes supervising housekeeping, security, maintenance, and infrastructure services while ensuring compliance with safety and regulatory standards.
Key Responsibilities
Transport Management
Plan, manage, and monitor daily employee transport operations.
Prepare routing, clubbing of routes based on cancellations and managing pickup time.
Ensure employee satisfaction, route optimization, cost efficiency, and timely services.
Coordinate with transport vendors and monitor performance.
Ensure compliance with transportation safety standards and company policies.
Handle escalation, incident reporting, and emergency transport requirements.
Maintain transport MIS reports, utilization data, and billing verification.
Implement initiatives for cost reduction and service improvement.
Monitor cab movements in MoveinSync.
Ensure compliance with night shift safety protocols (especially for women employees).
Track implementation of safety measures (escort deployment, SOS protocols, helpdesk support)
Conduct driver briefings and meetings with transport coordinators.
Fleet & Vendor Management
Manage On time vehicle deployment, On time cab reporting to first pickup, On time arrivals, SLAs,
Ensure vehicle fitness, documentation, and regulatory compliance.
Conduct vendor audits and periodic service quality checks.
Preparing MIS and Invoice processing as per MSA
Facilities Management
Oversee facility operations (housekeeping, security, cafeteria, utilities).
Ensure workplace safety, cleanliness, and employee comfort.
Coordinate repairs, preventive maintenance, and AMC services.
Manage event logistics and office administration activities.
Compliance & Safety
Ensure adherence to statutory regulations (transport, labour and safety).
Implement safety protocols for employees and facilities.
Conduct safety audits and risk assessments.
Maintain records related to compliance and regulatory requirements.
Reporting & Documentation
Prepare MIS reports, dashboards, and monthly reviews.
Track KPIs related to transport efficiency and facility utilization.
Maintain documentation for audits and compliance checks.
Updating of vehicle and driver details in MoveInSync
Required Qualifications
Bachelor's degree
Relevant certifications in facility or transport management are an added advantage.
Experience
8-10 years of experience in administration, transport and facilities management.
Experience in corporate, IT, or large-scale operations preferred.
Key Skills
Strong knowledge of transport operations and facility management.
Vendor management, Problem-solving and decision-making ability.
Excellent communication and coordination skills.
Proficiency in MS Office, MoveinSync and reporting tools.
