Job Purpose
To ensure efficient coordination with foreign suppliers and service providers throughout the end-to-end logistics process, from purchase order (PO) issuance to final delivery at plant siteswhile securing timely customs clearance, optimizing logistics costs, and maintaining sufficient customs account balance to avoid delays.
Key Responsibilities
Supplier & Shipment Coordination
- Follow up with foreign suppliers immediately after PO issuance to confirm readiness and shipping schedule
- Monitor shipment progress to ensure timely dispatch and avoid delays
- Ensure timely receipt of complete and accurate shipping documents
Shipping & Freight Management
- Coordinate with freight forwarders and shipping lines for transportation logistics
- Ensure alignment between Incoterms, shipping mode, and PO conditions
- Monitor freight charges and suggest alternative options to reduce transport cost
- Source and negotiate international shipping rates for all imports and exports
Customs Clearance & Documentation
- Request, review, and validate all shipping documents (e.g., B/L, invoice, waybill, packing list, EUR1, COO, HS code, Incoterms, tax code, ACID, AWB)
- Ensure all customs documentation is accurate, timely, and complies with local regulations
- Coordinate with customs brokers and clearing agents to ensure smooth clearance
- Resolve issues related to customs release, inspections, and broker fees
- Maintain in-depth knowledge of banking and customs forms (e.g., Form 4, Form 5, Form 6, value declaration, etc.)
Delivery & Site Coordination
- Coordinate delivery of shipments from port to plant in collaboration with Maintenance & Warehouse teams
- Track and confirm safe, complete, and timely deliveries
- Report and escalate any delivery discrepancies, damages, or delays
Customs Account Management
- Monitor customs account balances across all plant locations
- Coordinate with Finance/Treasury teams to request account top-ups in advance of incoming shipments
- Follow up on fund utilization and reconcile balances with actual customs payments
- Prepare daily, weekly, and monthly customs account forecasts based on delivery schedules
- Extract and share weekly/monthly customs account statements with relevant stakeholders
Cost Optimization & TCO Analysis
- Regularly review logistics and freight processes to identify cost-saving opportunities
- Recommend strategic initiatives to reduce Total Cost of Ownership (TCO)
- Assist in negotiating contracts and evaluating performance of logistics service providers
Reporting & Compliance
- Maintain shipment logs and tracking systems for all inbound deliveries
- Prepare regular reports on shipping status, customs payments, and logistics KPIs
- Ensure compliance with internal policies and all governmental trade and logistics regulations
Qualifications & Skills
- Minimum of 35 years experience in logistics, international shipping, and customs operations
- Deep knowledge of shipping procedures, international trade documents, and Egyptian customs regulations
- Experience in dealing with ACID, Form 4, and other import-related banking processes is essential
- Strong organizational, coordination, and communication skills
- Ability to analyze data and drive logistics cost-efficiency
- Proficiency in MS Office Suite and logistics tracking tools
- Ability to multitask and perform under pressure in a fast-paced environment
