Senior Executive/Executive (Human Resources and Publications)

The Institute of South Asian Studies at the National University of Singapore (NUS) invites applications for the position of Senior Executive/Executive (Human Resources and Publications) to join its administrative team.

Key Responsibilities - Human Resources

  • Work closely with NUS Human Resource (HR) Business Partner.
  • Manage recruitment, onboarding and offboarding processes for staff.
  • Administer student work, internship, academic visitor and fellowship schemes.
  • Handle HR-related enquiries and staff records.
  • Support contract renewals, performance appraisals and publication tracking.
  • Coordinate staff welfare initiatives and HR announcements.
  • Facilitate appointments and reappointments of researchers and fellows.
  • Maintain staff directories, distribution lists and leave records.
  • Coordinate accommodation and administrative arrangements for visiting researchers and academic visitors.
  • Liaise with auditors and provide supporting documentation when required.

Key Responsibilities - Administration And Publications

  • Arrange visitor accounts, access cards and library/e-resource access.
  • Manage office subscriptions for newspapers, magazines and publications.
  • Assist with dissemination of events, newsletters, bulletins and email communications.

Key Responsibilities - Reporting

  • Prepare and submit key performance indicators and variance reports.
  • Verify departmental data submissions to ensure reporting accuracy.
  • Prepare HR and key performance indicator updates for the management board and meetings.
  • Compile staff appointment and fellowship updates for the newsletter and internal reporting.

Qualifications And Requirements

  • Degree in Human Resource Management or a related discipline, with at least three years of relevant experience.
  • Meticulous, organised and detail-oriented.
  • Proficient in Microsoft Office applications, particularly Word, Excel and PowerPoint.
  • Strong interpersonal, communication, analytical and problem-solving skills.
  • Able to work independently while contributing effectively as part of a team.
