About the job:
Responsible for supporting the achievement of the retail leasing plan and strategy by assisting in the retail leasing process through renewals, new leases and amendments, handling lease negotiations and liaising with stakeholders. He/she supports the leasing activities through effective coordination to achieve target revenue and tenancy mix relevant to each retail asset.
- Assist in preparation of budgets by providing due inputs on various factors including vacant units, timelines, potential terminations, non-renewals etc.
- Coordinate with the collections team for collection of rents, deposits and leasing fees to ensure payments are made accurately on time.
- Perform general administrative duties such as ensuring documents are signed in a timely fashion, setting up new files, preparing routine correspondence, etc.
- Support the Head Retail Leasing and other line departments to ensure that all proposals for new tenants comply with company guidelines, budgets and have received appropriate approvals.
- Coordinate with the Legal department for preparation of tenancy contracts templates and forms to ensure standardization of leasing documents within the framework of the federal law.
- Ensure lease contracts are effectively tracked, produce the supporting documentation for new leases and lease renewals, compile lease summaries and liaise with clients to clarify lease for timely approvals.
- Source prospective tenants and generate new leasing leads and negotiate qualified deals from inception to final execution including submission for review to the leasing committee.
- Handle client physical and database lease files to ensure that the lease files contain accurate and up-to-date records.
- Ensure the lease document management system is kept up to date with all new leasing deals for specific developments.
- Assist in preparing timely reports for Senior Management review and analysis.
- Prepare memos and RAFs for case justification and approval from Management as per DOA.
- Maintain accurate sales force data / inventory and preparation of accurate lease agreements. In event if lease preparation is done by someone else, to validate of documents and agreements.
- Create tenant profiles and accurate databases for each tenant category so as to facilitate information retrieval and ensure a proper follow-up.
- Proactively develop and manage the relationship with the client to ensure service delivery expectations are exceeded.
- Prepare regular reports, within specified time frames, detailing property status and performance including recommendations on lease negotiations.
- Support the Head/ Senior Managers /Managers/ Assistant managers in any follow-ups and negotiations.
- Assist the Senior Leasing Manager/ Leasing Manager in developing tenant and customer focused strategies through monitoring customer, tenant and asset feedback.
- Make follow-up calls to Tenant who have not reverted to renewal reminder notification.
- Conduct adequate market analysis on competitive leasing trends and report to management.
- Develop a prospective tenant pipeline in consideration with brand reputation, financial stability, existing availability of units, defined retailer mix targets etc.
- Support any payment schedule or final settlement preparation for approval by management and handle the assigned pre-termination negotiation.
- Handle and maintain all letter correspondence with tenants w.r.t to leasing.
- Assess leasing related challenges/issues and report the same to the managers / department head with a proposed solution ensures a remedial tactics are implemented to mitigate risks and to avoid negative impact.
- Coordinate on monthly asset performance reports and performance indicators
- Conduct presentations and site visits for prospective tenants in order to promote DHAM retail projects.
- Assess leasing issues on an on-going basis and recommend and implement remedial tactics to mitigate risk.
- Ensure constant coordination between tenants and related departments (retail design & delivery, specialty leasing admin, facility management) to ensure excellent customer service.
