How You Will Make An Impact (Key Responsibilities)
- Vendor Management
- Build and maintain strong working relationships with beauty vendors and suppliers to ensure reliable and consistent service delivery.
- Monitor vendor performance against agreed terms, timelines, and quality standards, escalating issues where necessary.
- Support vendor onboarding processes, including documentation, system setup, and compliance verification.
- Coordinate with vendors to resolve supply discrepancies, delivery delays, and invoice queries in a timely manner.
- PR/PO Processing & Procurement Coordination
- Raise and manage Purchase Requisitions (PRs) and Purchase Orders (POs) accurately and in accordance with procurement policies.
- Track open POs to ensure timely fulfillment, flagging delays and working with vendors to resolve issues promptly.
- Maintain accurate procurement records, documentation, and system data to support reporting and audit requirements.
- Ensure all procurement activities comply with internal approval workflows, budgets, and company guidelines.
- Stakeholder Liaison & Coordination
- Act as the primary point of contact between the Beauty team, vendors, finance, and other internal departments.
- Liaise with merchandising, logistics, and finance teams to align procurement timelines with business and inventory needs.
- Communicate order status updates, delivery schedules, and any supply risks proactively to relevant stakeholders.
- Support cross-functional meetings and initiatives by providing accurate procurement data and timely follow-through on action items.
- Reporting & Process Improvement
- Prepare and maintain regular procurement reports, PO trackers, and vendor performance summaries for management review.
- Identify inefficiencies in procurement workflows and recommend process improvements to enhance accuracy and turnaround time.
- Support the implementation of procurement best practices and system enhancements within the Beauty category.
- Monitor key metrics such as PO accuracy, lead times, and vendor compliance to drive continuous operational improvement.
- Bachelor's degree in Business Administration, Supply Chain, Retail Management, or even law related field is preferred.
- 2 - 5 years of experience in procurement, vendor management, or operations within a retail or beauty environment.
- Hands-on experience raising and managing PRs and POs within an ERP or procurement system.
- Proven ability to manage vendor relationships and resolve supply chain issues effectively.
- Strong understanding of procurement processes, purchase order cycles, and supplier coordination.
- Experience liaising across cross-functional teams including finance, logistics, and merchandising.
- Proficiency in Microsoft Excel and ERP/procurement platforms such as SAP or Oracle.
- Strong organizational skills with a high level of attention to detail and documentation accuracy.
- Excellent written and verbal communication skills for effective stakeholder engagement.
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced retail environment.
