Job Description

Job Title : Senior Manager, Travel Management

1 . Job Purpose

Oversee and manage all organizational travel operations to ensure seamless, cost-effective, and policy-compliant arrangements for employees, guests, and stakeholders. The Manager will be responsible for vendor management, policy implementation, cost control, and service quality, ensuring travel activities align with the organization’s strategic objectives and operational needs.

2 . Key Accountabilities

Generic Accountabilities

Leadership

  • Lead and manage the travel services team to deliver high-quality, efficient, and customer-focused travel support.
  • Provide mentorship and guidance to staff, fostering professional growth and ensuring performance excellence.

Strategy & Planning

  • Contribute to the development and execution of travel management strategies that align with the organization’s goals and budget objectives.
  • Analyze travel data and spending trends to inform decision-making and enhance cost efficiency.

Policies, Systems, and Procedures

  • Develop, implement, and maintain travel policies, systems, and procedures to ensure compliance with internal guidelines and external regulations.
  • Regularly review and improve travel processes to enhance efficiency, traveler safety, and user satisfaction.

Job Specific Accountabilities

Travel Operations Oversight

  • Manage and coordinate all domestic and international travel arrangements, including flights, accommodation, ground transportation, and visas.
  • Ensure timely and cost-effective bookings, while optimizing travel routes and service quality.
  • Oversee urgent and complex travel requests to ensure minimal disruption to operations.

Vendor & Contract Management

  • Negotiate and maintain contracts with travel agencies, airlines, hotels, and ground transport providers.
  • Monitor vendor performance against agreed service-level agreements (SLAs) and take corrective action when required.

Budget & Cost Control

  • Manage the travel budget, ensuring expenses remain within approved limits while maximizing value for money.
  • Track travel expenditures and produce regular reports for senior management.

Risk Management & Compliance

  • Implement and oversee travel risk management procedures to safeguard traveler safety.
  • Ensure all travel activities are compliant with relevant policies, health and safety standards, and legal requirements.

Stakeholder Coordination & Reporting

  • Maintain strong communication with department heads and travelers to understand requirements and ensure satisfaction.
  • Prepare periodic travel performance reports, highlighting key metrics, trends, and improvement opportunities.

Other Accountabilities

  • Perform other duties as assigned by leadership to meet evolving business needs and support organizational objective .
