The Opportunity:
The Senior Specialist – PMO Systems & Governance at Presight plays a pivotal role at the intersection of technology, governance, and portfolio management within the Operational Excellence Team. As a Senior Specialist, you will own and continuously develop the internal PPM platform, ensuring it remains an accurate, trusted and adopted tool across all delivery and commercial teams. Your role is critical in translating business needs into system improvements, driving adoption across the organization, and maintaining the data quality that support executive-level decision making.
Beyond systems ownership, you will support core PMO functions including portfolio governance, resource tracking and stakeholder reporting, acting as a bridge between the PMO, engineering teams, HR, and commercial stakeholders, operating with direct visibility to senior leadership.
Key Responsibilities:
- PPM Tool Ownership & Development
- Own the configuration, maintenance, and continuous development of the organisation's primary PPM platform.
- Identify gaps between current PPM tool capabilities and business needs; design, test, and implement improvements independently or in collaboration with the product team.
- Drive adoption of PPM tool by onboarding new users, training project teams, and troubleshooting issues.
- Build and maintain dashboards, reporting views, and automated workflows within Radar to support portfolio visibility and resource planning.
- Manage the roadmap for PPM tool feature development within the PMO context, prioritizing based on governance and operational value.
- Own the integrity and quality of data in PPM tool— define data entry standards, monitor compliance, and escalate gaps.
- PMO Governance & Reporting
- Maintain and update portfolio dashboards and governance artefacts across active projects.
- Support preparation of reports for senior stakeholders (COO, CEO level).
- Track project milestones, deliverables, risks, and issues; escalate deviations in a timely manner.
- Resource & Capacity Coordination
- Support in maintaining the workforce capacity tracker, consolidating inputs from Program Directors and delivery leads.
- Track resource allocation, demand, and forecast gaps across the portfolio; flag emerging shortfalls with supporting data.
- Coordinate redeployment and ensure accurate headcount records are reflected in trackers.
- Stakeholder Communication
- Draft and distribute internal communications on behalf of the PMO
- Liaise with Program Directors, HR, Engineering, and Commercial teams to gather, validate, and consolidate PMO data.
- Act as first point of contact for project teams with queries on PMO processes, tools, and reporting requirements.
- Automation Support
- Support automation initiatives across teams, including requirements gathering, tracking activities, dependencies, and delivery milestones.
- Comply with QHSE (Quality Health Safety and Environment), Business Continuity, Information Security, Privacy, Risk, Compliance Management and Governance of Organizations policies, procedures, plans and related risk assessments.
Requirements:
- Bachelor's degree in a relevant field or equivalent work experience.
- 3–6 years of experience in a role combining systems ownership or administration with project management or PMO functions.
- Demonstrated ability to independently configure, improve, and maintain a PPM tool.
- Strong understanding of project management principles and governance frameworks.
- Ability to gather business requirements, translate them into system or process specifications, and drive implementation without heavy technical support.
- Excellent written and verbal communication skills in English; able to communicate technical concepts clearly to non-technical stakeholders.
- High standard of data accuracy, documentation quality, and structured thinking.
- Experience in tools - Jira, Git, SQL, any programming language.
- Experience with AI Agents, CSS, understanding of Web.
Good to have:
- Java Spring, Typescript (React), Docker, Kubernates, System Design
- Exposure to AI, data, or technology-led project environments.
- Experience in resource planning, workforce capacity management, or financial tracking within a PMO context.
- Familiarity with API integrations or basic scripting to extend tool capabilities (no deep development required, but technical curiosity is essential).
- Project management certification (PMP, CAPM, PRINCE2, or equivalent) is an advantage.
- Basic knowledge of automation platforms or AI tooling (Power Automate, Copilot, RPA concepts).
