Job Description


JOB PURPOSE:

The Senior Specialist, Warehouse Operations & Stakeholder Engagement is responsible for optimizing warehouse operations and ensuring seamless collaboration with stakeholders. This role involves developing and implementing strategies to enhance efficiency, reduce costs, and maintain compliance with safety and regulatory standards. The position requires a proactive approach to inventory management, order fulfillment, and vendor relationships, while fostering effective communication and engagement with internal and external stakeholders. The Senior Specialist will play a pivotal role in driving operational excellence and ensuring the alignment of warehouse operations with organizational goals.

KEY ACCOUNTABILITIES:

Job Specific:

  • Prepare and implement warehouse operations strategies and procedures that align with the company's goals and objectives.
  • Develop and produce training programs for warehouse supervisors and staff to ensure adherence to safety and operating procedures.
  • Examine warehouse performance metrics to identify areas for improvement and execute action plans to address issues.
  • Deliver best practices in inventory management, order fulfillment, and shipping and receiving processes.
  • Advise other departments, such as transportation and logistics, to ensure seamless integration between warehouse operations and other business functions.
  • Review compliance with regulatory and safety requirements and execute corrective actions as needed.
  • Prepare and manage the warehouse operations budget, ensuring cost reduction wherever possible.
  • Examine warehouse facilities and equipment to ensure they are well-maintained and compliant with safety regulations.
  • Advise on relationships with key vendors and suppliers, negotiating contracts as needed.
  • Analyse industry trends and developments to implement new technologies and processes as appropriate.

Supervision

u2022 Plan, supervise and coordinate all activities in the assigned area to meet functional objectives.

u2022 Train and develop the assigned staff on relevant skills to enable them to become proficient on the job and deliver the respective business objectives.

Budgets

u2022 Provide input for preparation of the Function / Division / Department / Section budgets, assist in the implementation of the approved Budget, and work plans to deliver business objectives.

u2022 Investigate and highlight any significant variances to support effective performance and cost control.

Policies, Systems, Processes & Procedures

u2022 Implement approved Function/ Division/ Department/ Section policies, processes, systems, standards and procedures in order to support execution of the work programs in line with Company and International standards.

Performance Management

u2022 Contribute to the achievement of the approved Performance Objectives for the Function/ Division / Department/ Section in line with the Company Performance framework.

Innovation and Continuous Improvement

u2022 Design and implement new tools and techniques to improve the quality and efficiency of operational processes.

u2022 Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with best industry standards in order to define intelligent solutions for issues confronting the function.

Health, Safety, Environment (HSE) and Sustainability

u2022 Comply with relevant HSE policies, procedures, controls, applicable legislation, and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices.

Reports

u2022 Provide inputs to prepare MIS and progress reports for Company Management.

COMMUNICATION & WORKING RELATIONSHIP:

Internal:

Coordinate with the SVP Group Commercial Operations & Execution and other Division heads in the function to ensure alignment of warehouse operations with organizational goals.

External:

Engage with suppliers, vendor organizations, and government officials to clarify regulations affecting purchasing activities, obtain latest amendments, and discuss matters of common interest. Collaborate with ADNOC affiliated companies for pooling of information and possible inter-company transfer of materials.

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:

Minimum Qualification

Bachelor Degree in Engineering, Finance, Supply Chain, Business Administration, or Logistics. Master's degree preferred.

Minimum Experience & Knowledge & Skills

10 years of experience in warehouse operations, with at least 8 years in a leadership role.

Professional Certifications

Relevant certifications in warehouse management, supply chain, or logistics are preferred.
