Site Document Controller
Job Summary
The Site Document Controller is responsible for managing, organizing, and maintaining all project documentation at the site level. This role ensures that accurate, up-to-date documents are available to project teams, subcontractors, and clients in compliance with company procedures and project requirements.
Key Responsibilities
- Control, track, and maintain all project documentation (drawings, technical documents, correspondence, RFIs, submittals, method statements, etc.).
- Ensure correct version control, numbering, and filing of documents (hard copy and electronic).
- Receive, register, distribute, and archive incoming and outgoing documents.
- Coordinate with engineers, consultants, contractors, and subcontractors regarding document submissions and approvals.
- Maintain document control logs, registers, and transmittals.
- Ensure documents are compliant with company standards and project document control procedures.
- Support audits by ensuring document traceability and completeness.
- Maintain confidentiality and data integrity of project documents.
- Assist project teams with document retrieval and reporting when required.
- Monitor document submission deadlines and follow up on pending approvals.
Qualifications & Experience
- Diploma or Bachelor's degree in Business Administration, Engineering, or a related field (preferred).
- 25 years of experience as a Document Controller, preferably on construction or engineering projects.
- Experience working on-site is an advantage.
Skills & Competencies
- Strong organizational and time-management skills.
- High attention to detail and accuracy.
- Proficiency in MS Office (Word, Excel, Outlook).
- Experience with Document Management Systems (e.g., Aconex, Procore, SharePoint, EDMS).
- Good communication and coordination skills.
- Ability to work under pressure and meet deadlines.
- Understanding of document control procedures and ISO standards (preferred).
