Job Description

Role Summary

The Site Supervisor is responsible for overseeing and executing all on-site fit-out activities, ensuring that works are delivered safely, on time, within budget, and in full compliance with approved drawings, specifications, and quality standards. The role requires effective coordination with subcontractors, suppliers, and project stakeholders to ensure seamless project execution and successful handover.

Role Description

Site Execution & Supervision

  • Supervise day-to-day site activities and ensure work is carried out as per approved drawings and specifications
  • Conduct daily site surveys and set out/mark interior finishes
  • Plan, organize, and delegate tasks to foremen, chargehands, and subcontractors
  • Monitor work progress against the project schedule and take corrective action where required

Planning & Reporting

  • Prepare and detailed work programs and project schedules (MS Project)
  • Maintain accurate daily site reports, including progress updates and photographic records
  • Report progress, risks, and issues regularly to the Project Manager
  • Track productivity and ensure efficient use of resources

Coordination & Stakeholder Management

  • Coordinate with all trades including civil, joinery, MEP, and finishing works
  • Liaise with subcontractors, suppliers, consultants, mall management, landlords, and clients
  • Attend site meetings and ensure timely follow-up and closure of action points
  • Coordinate with factory teams for production and delivery of joinery items

Quality Assurance & Control (QA/QC)

  • Ensure all works are executed in line with approved drawings, materials, and method statements
  • Coordinate inspections and approvals (WIRs, MIRs, etc.) with QA/QC teams and consultants
  • Identify defects, raise snag lists, and ensure timely closure of all snags
  • Monitor and close NCRs in coordination with relevant teams

Health, Safety & Environment (HSE)

  • Ensure compliance with all HSE policies, procedures, and local regulations
  • Conduct toolbox talks and enforce safe working practices on site
  • Ensure proper use of PPE and maintain a safe working environment
  • Report and escalate any incidents, accidents, or unsafe conditions immediately

Material & Logistics Management

  • Monitor material delivery, storage, and usage on-site
  • Ensure materials are in line with approved submittals
  • Minimize wastage and prevent damage of materials
  • Coordinate logistics and site access requirements

Permits & Authority Coordination

  • Ensure all required work permits are obtained prior to execution
  • Coordinate with authorities, mall management, and consultants for approvals and inspections

Commercial & Cost Awareness

  • Verify subcontractor work quantities and progress (as-built)
  • Support cost control by minimizing rework and delays
  • Review timesheets and workforce allocation

Documentation & Records

  • Maintain proper documentation including drawings, RFIs, approvals, and site instructions
  • Ensure all project records are updated and accessible

Handover & Close-Out

  • Prepare and manage snag lists and ensure full close-out prior to handover
  • Support testing & commissioning activities where applicable
  • Submit Operation & Maintenance (O&M) manuals
  • Prepare project completion and close-out reports
  • Assist in final inspections and formal handover to the client

Risk & Issue Management

  • Identify potential risks and proactively escalate issues to the Project Manager
  • Implement mitigation actions to avoid delays or cost overruns

Experience

Candidate Requirements

  • 5–8 years of experience in the fit-out industry
  • Proven track record with reputable fit-out contractors

Technical Skills

  • Strong knowledge of fit-out works, materials, and construction sequencing
  • Ability to read and interpret drawings (shop drawings, IFC, etc.)
  • Proficiency in AutoCAD, MS Project, and MS Office

Additional Requirements

  • Good understanding of all fit-out trades, including MEP
