Job Description

Role Overview

The Software Project Coordinator supports the CEO's Office by documenting all tech-related meetings, translating decisions into actionable tasks, and ensuring the technical team delivers on time. The role maintains alignment across teams, tracks progress, and strengthens execution to reduce inefficiencies and keep projects on schedule.

Key Responsibilities

Direct Support to CEO Office

  • Attend all CEO meetings related to technology, development, or product, and act as the central point of communication between the CEO's office and the technical team.
  • Convert meeting outcomes into clear, actionable tasks, maintain a centralized tracking system for all CEO-assigned deliverables, follow up with stakeholders to ensure timely completion, and escalate delays or risks when required.
  • Coordination Across Technical Teams
  • Ensure all parties understand requirements, deadlines, and priorities.
  • Escalate delays, risks, or blockers when timelines are at risk.

Poject Timeline Oversight

  • Monitor deadlines and milestones across all ongoing tech initiatives.
  • Keep the CEO updated with concise status summaries.
  • Ensure that deliverables are executed as agreed and aligned with company priorities.

Process & Execution Improvement

  • Help establish efficient workflows between leadership and technical teams.
  • Promote structure, clarity, and consistency in how tasks are tracked and delivered.
  • Identify inefficiencies and propose improvements to reduce wasted time and effort.

Required Skills & Qualifications

  • Bachelor's degree in Computer Science, Engineering, IT, Business, or related field.
  • 2+ years experience in technical coordination, project management, or PMO role.
  • Strong understanding of software development processes and tech terminology.
  • Exceptional communication, documentation, and follow-up skills.
  • Highly organized, meticulous, and proactive.
  • Ability to manage multiple tasks concurrently and work under pressure.
  • Experience working directly with C-level executives is a strong advantage.
