The Project Manager is responsible for the full operational, administrative, and strategic management of the Project Program and school-based sports educational initiatives. This role oversees project planning, staffing, coordination, reporting, partner management, and compliance with governmental and contractual standards. The Project Manager ensures that all sport educational programs, after-school activities, and Project centers operate efficiently, meet KPIs, and deliver high-quality outcomes.
Key Responsibilities
1. Program Management – Sports & Education
- Oversee the organization's sports educational programs in schools, including physical education activities, Project operations, and after-school sports programs.
- Ensure programs meet educational objectives, operational standards, and client expectations.
2. Contract & Budget Oversight
- Manage all contract matters, including start/end dates, renewals, amendments, and deliverables.
- Work with finance to monitor budgets, track expenditures, and ensure alignment with approved resources.
- Ensure accurate implementation of contracts covering all assigned centers, including additional yearly extensions.
3. Project & Portfolio Management
- Provide oversight into all assigned projects and contribute to strategic decision-making by monitoring external factors and performance trends.
- Lead the coordination, execution, and monitoring of multiple projects simultaneously.
- Initiate, manage, and deliver ad hoc projects as requested by senior management.
4. Team Leadership & Cross-Department Coordination
- Supervise, organize, and support project teams, ensuring alignment and collaboration across departments such as Marketing, Technology, Logistics, HR, and Operations.
- Ensure all team members fulfill their responsibilities and maintain high performance.
- Approve and oversee leave requests for center managers and ensure replacements are assigned appropriately.
5. Staffing, HR, and Operational Support
- Coordinate with HR for staff hiring positions, onboarding, attendance tracking, and disciplinary actions.
- Oversee the master list for Project staff, attendance records, and salary-related documentation.
- Monitor coach interviews, staff movement, and leave processes.
6. Systems, Dashboards & Reporting
- Ensure project-related systems, databases, and dashboards are accurate, up to date, and reflective of actual operations.
- Review and approve daily hub schedules; oversee updates requested by coordinators and supervisors.
- Consolidate all data into monthly reports, including attendance, KPIs, survey results, events, and student registration figures.
- Maintain structured documentation, meeting minutes, and action item logs.
7. Surveys & Performance Measurement
- Oversee quarterly Project surveys and ensure results are incorporated into reports and evaluations.
- Monitor project KPIs and ensure compliance with performance indicators required by stakeholders.
8. Equipment, Uniforms & Materials
- Manage orders, distribution, and logistics of project materials, including T-shirts, medals, and inventory.
- Coordinate with internal teams to fulfill material requests and track stock availability.
9. Coordination with External Stakeholders
- Build and maintain strong working relationships with partners, clients, and regulatory bodies.
- Coordinate with government entities for program approvals, seasonal camp requests, and reporting requirements.
- Ensure client expectations are met, and collaboration remains smooth and professional.
10. Opening or Relocating Centers
- Follow approved procedures for opening, closing, or relocating centers.
- Ensure all documentation and approvals are completed accurately and on time.
Qualifications & Experience
- Bachelor's degree in Sports Management, Business, Operations, or a related field.
- 6-8 years of experience in project management or operational leadership, preferably in sports, education, or government-linked programs.
- Experience managing large, multi-site operations.
- Experience coordinating with government and educational entities is preferred.
