Description
The Studio Administrative Assistant will play a crucial role in ensuring the smooth operation of the Studio by providing administrative support and delivering a warm, welcoming experience to clients, suppliers and visitors. This position requires excellent communication skills, a proactive approach, and the ability to manage multiple tasks efficiently.
Responsibilities
- Greet and welcome visitors with a friendly and professional demeanor.
- Answer and direct phone calls, take messages, and relay them to the appropriate person promptly.
- Manage daily office operations, including maintaining office supplies and ensuring a clean, organized, and client-ready workspace.
- Schedule and coordinate meetings, book meeting rooms, and arrange travel plans for staff.
- Assist the design team with document preparation, data entry, and file management.
- Handle incoming and outgoing correspondence, including emails, mail, and courier services.
- Maintain and update company databases and contact lists.
- Prepare reports, presentations, and other documents as needed.
- Support weekly meetings by coordinating with managers and ensuring smooth execution.
- Maintain confidentiality of sensitive information and documents.
- Perform other administrative and clerical duties as assigned.
Qualifications:
- Proven experience in a Receptionist, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Professional appearance and a positive, customer-focused attitude.
- Ability to work independently and as part of a team.
- Attention to detail and a high level of accuracy.
- Experience in the interior design, architecture, or creative industry is a plus.
