Job Description
We are currently hiring for Supervisor - Administration for our Egypt office, who will be responsible for day-to-day coordination of all administrative operations, including daily workplace operations, facility management, vendor accountability, and asset control.
The Ideal candidate should be:
- min. 4 Years of experience in corporate office administration, facilities management, or operational support (multicultural corporate or real estate development environment preferred).
- Bachelor's degree in administration or equivalent relevant study.
- Conversant in both English and Arabic.
Key responsibilities:
- Overseeing daily office operations, workspace safety, and facility maintenance to foster a secure and productive environment.
- Managing 3rd party service providers and contractors (including housekeeping, security, and maintenance) to ensure strict adherence to SLAs.
- Conducting routine property inspections to proactively identify, report, and resolve maintenance issues before they impact the business.
- Monitoring and managing office supply inventory levels, coordinating with vendors to prevent shortages while optimizing operational costs.
- Overseeing company storage and warehouse spaces, ensuring all stored assets, materials, and supplies are accurately logged, organized, and secured.
- Enforcing internal corporate administrative policies and procedures smoothly across local operations.
- Handle administration related procurement activities, gather competitive quotes, and prepare accurate data and documentation for monthly vendor invoices and payments.
- Maintaining strict confidentiality, security, and organization across all physical and digital filing systems.
- Acting as a primary, accessible point of contact for employees regarding general administrative inquiries and workplace logistics.
- Coordinating logistical requirements for internal meetings, local business travel and corporate events.
- Preparing regular operational reports highlighting facility updates, vendor performance metrics, and areas requiring strategic intervention.
- Occasionally travel off-site to ensure punctual delivery of reports, files or sensitive documents to other departments or authorities.
- Participating in departmental meetings to discuss operational updates, business growth and knowledge transfer initiatives.
