Team Leader, Supply Operations (Support)

JOB PURPOSE:

To provide support for effective management and delivery of Supply Operations Division services by managingproduct demand planning, Enterprise Risk management, HSSE compliance, Internal / External audits, ISOcertification, Business continuity, Contract management, fleet monitoring and management, OPEX and CAPEXbudgeting and tracking, staff training and Division Performance monitoring and control.

KEY ACCOUNTABILITIES:

Supply Operations planning

u2022 Oversee preparation and implementation of weekly, monthly and quarterly product demand plans basedon the sales estimates provided by Sales, Marketing and Aviation Division and existing stock andinventory level at ADNOC distribution terminals.
u2022 Manage the preparation of OPEX budget of supply Operations department by consolidating theoperating budget of various terminals and locations. Track the actual expenses versus budgeted,preparation of revised budget, contributing to negotiation in order to ensure allocation of approved fundsand that the expenses are within the budget.
u2022 Manage preparation of CAPEX budget for Supply Operations Division and in line with budget, monitorthe progress and expenses on projects, expansion plans and major modification at various terminals,depots and other facilities in Supply Operations Division.

Quality Assurance and Policy and processes

u2022 Manage the process of ISO and quality audit for entire supply Operations Division and coordinate withvarious terminal managers, team leaders in department for fulfilment of ISO requirements, auditscompliance and documentation etc.
u2022 Oversee the policies, procedures and SOPu2019s are updated as per the requirement.
u2022 Oversee compliance to Internal / external audits by ensuring timely closure of the recommendedaction.

Contract Management

u2022 Manage development of RFPs and RFQs for contracts relevant to supply Operations Division ensure proper assessment of each contactoru2019s capabilities with ADNOC distribution requirements and monitor the process of the final selection of vendors for related services to ensure cost effective and qualityservices are obtained for ADNOC Distribution on all related contracts.

u2022 Ensure supply Operation contracts are up to date and evaluate performance of the contractorsthroughout the life of the contracts.

Fleet Monitoring and Management

u2022 Manage the development of report on ADNOC and 3rd party vehicle utilization, number of trips,breakdown and unplanned stoppages etc. and accordingly process contractor invoices, monthlyhaulage statements and deductions.
u2022 Manage monitoring and tracking performance of third-party vehicles, leased contractors including anysafety violation, fleet utilization, vehicle breakdown and accidents etc. via Vehicle management systemto ensure that transportation of fuel from ADNOC depots to service stations, customer locations etc. iscarried out in safe and efficient manner.
u2022 Oversee registration of new vehicles and fleets, mobilization of gate passes for drivers at variousADNOC distribution locations etc.

Staff Training and development

u2022 Oversee the organization and delivery of training to Supply Operations department employees likedrivers, operators including new employees on department processes and procedures, new rules andregulations, safe operation and fuel handling procedures etc.

Performance Monitoring

u2022 Support VP Supply Operations in developing, determining and updating the Supply Operations DivisionKPIs and BSC based on inputs from corporate & divisionu2019s strategies & plans in order to ensurealignment to the corporate & divisionu2019s strategic objectives & KPIs.
u2022 Lead and manage the monitoring & periodic reviews of Supply Operations Division KPIs and BSC inensuring the progress of the KPIs & BSC are on track and are realistic to be achieved by the department.
u2022 Submits periodically performance and achievements reports, including statistical analysis andidentifying continuous improvements agreed action plans / benchmark supply operations performanceidentifying areas for improvement and providing solutions.
u2022 Support VP Supply Operations in planning, developing, and implementing initiatives, methods andprocedures designed to reducing operating costs by optimizing stock losses, product inventory levelsetc.
u2022 Oversee development of various reports on performance of Supply Operations Division for ELT,finance, HSE, energy management and other corporate initiatives like purple book etc. Arrange fordevelopment of any other report and analysis as deemed necessary by VP Supply Operations.

Others

u2022 Support EPD in developing scope of work, technical evaluation of contractors, follows up on theprogress of major projects in Supply Operations department.
u2022 Perform other similar or related duties as and when assigned by VP Supply Operations.
u2022 Prepare and submit Business cases for various projects for onward submission to Investment Committee by VP-SOD.

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:

u2022 Bacheloru2019s Degree in Science or Engineering

u2022 10 years of experience in Supply Operations Division in Oil and Gas Industry, including 3-4 years atmanagerial level.
u2022 Sound knowledge of Terminal OperationsContract Management Performance Management Good Financial Understanding.
