Job Summary
We are seeking a reliable and detail-oriented Transport & Procurement Officer to manage our vehicle fleet operations and procurement activities. The role involves overseeing fleet and traffic fine management, coordinating vehicle maintenance, handling vendor invoices, ordering spare parts and services, and supporting users with transport-related requests.
Key Responsibilities
- Fleet Management
- Oversee daily operation, utilization, and maintenance of company vehicles
- Maintain accurate fleet records (registration, insurance, etc.)
- Coordinate preventive and corrective vehicle maintenance with workshops
- Fine & Compliance Management
- Monitor, track, and manage traffic fines and violations
- Coordinate timely payment and reporting of fines
- Liaise with authorities when required
- Procurement & Vendor Management
- Process orders for vehicle spare parts, consumables, and services
- Source and negotiate with suppliers and service providers
- Follow up with workshops and vendors on repair status and delivery timelines
- Invoice & Cost Control
- Receive, verify, and process invoices from vendors and service providers
- Ensure invoices match approved orders and services rendered
- Support cost tracking and reporting for fleet-related expenses
- User & Operational Support
- Answer calls and respond to requests from users regarding vehicle issues
- Arrange breakdown assistance and emergency repairs when needed
- Coordinate vehicle availability and replacements during servicing
Requirements & Qualifications
- Proven experience in fleet management, transport coordination, or procurement
- Good knowledge of vehicle maintenance, spare parts, and workshop processes
- Experience handling vendor invoices and purchase orders
- Strong organizational and follow-up skills
- Good communication skills and ability to handle user requests professionally
- Proficiency in MS Office (Excel, Word);
