Job Description

Contract: 12 months (renewable/extendable)

Employment: Outsourced through Manpower Middle East

Role:

Vendor Management Specialist (VMS) is responsible for managing third party activities through the entire lifecycle of the engagement based on Engagement Owner's requirements and oversight. VMS will be working closely with the Engagement Owners in the management of vendors, including proper assessment, monitoring, onboarding and termination, and contracting in line with Working with Third Parties (WwTP) procedure.

Job Responsibilities:

  • Comply and ensure compliance with company policies and procedures related to Working with Third Parties (WwTP) and all other relevant company policies.
  • Ensure integrity in business in working with third parties and ensure necessary due diligence and agreements are secured prior to engagement.
  • Act as the Subject Matter Expert in relation to WwTP and contracting requirements.
  • Collaborate with Engagement Owners in WwTP, provide guidance, ensure third party is added to the tool and conduct proper assessment as per Company requirements.
  • Work closely with Engagement Owners and ensure relevant questionnaires, due diligence are completed prior to contracting and on boarding.
  • Work closely with Engagement Owners and prepare service agreements based on the required engagement and vendor assessment. Secure alignment from different stakeholders whenever applicable prior to contract signature.
  • Coordinate and accelerate alignment processes with relevant departments related to contracting, onboarding, termination and renewals of vendors.
  • Work closely with different stakeholders (i.e. Legal, Procurement, Finance, E&C and others) to simplify and streamline the vendor contracting process to support Engagement Owners in achieving their business objectives in a timely manner.
  • Maintain a systematic and accurate vendor tracking system that accurately reflects the status of vendor engagement across different domains.
  • Conduct vendor clean-up on quarterly basis and maintain active vendor checklist.
  • Support Engagement Owners in any required support related to ongoing monitoring activities.
  • Deliver refresher trainings and guidance updates related to WwTP and vendor contracting process.
  • Manage Purchase Requisition for non-event related goods and services and ensure relevant supporting documents are secured prior to commitment and payment.
  • Responsible in the management of relevant business records; with high attention to privacy and record retention policy.

Requirements:
