Warehouse & Order Fulfilment Coordinator

JOB POSITION & WHO I REPORT TO: Warehouse & Order Fulfilment Coordinator reporting to Planning, Logistics and Inventory Administrator.

JOB MISSION: Ensure accurate, timely, and hygienic fulfillment of all B2C and B2B customer orders, while maintaining inventory accuracy, compliance with FIFO practices, and coordination of last-mile logistics and reporting.

FIFO Compliance for Batch-Managed SKUs = 100%

Order Fulfilment Accuracy (Packed vs Invoice) = 100%

On-Time B2C and B2B Dispatch > 98%

Physical Inventory Count Accuracy = 100%

Hygiene & Storage Compliance Logging Daily and Accurate

SKILLS AND COMPETENCIES

Knowledge of FIFO inventory control for perishable goods

Knowledge of order management systems, ERP systems, Proficient in MS Office tools (Word, Excel, Outlook) for daily operational and reporting tasks

Strong attention to accuracy and detail in packing and inventory

Familiarity with physical stocktaking and reporting procedures

Basic understanding of warehouse hygiene and food safety standards

Time management and ability to meet strict dispatch deadlines

Working knowledge of warehouse layout management, rack arrangement, and inventory flow and space optimization

Communication skills for coordination with finance, delivery partners, and internal teams

Physical ability to handle packing, loading, and delivery of goods.

KEY RESPONSIBILITIES

Ensure strict FIFO is followed for every batch-managed SKU with a shelf life.

Maintain warehouse layout and implement clear rack and bin labelling to enable accurate, fast, and FIFO compliant picking.

Monitor new orders from RAW Online Store and inbox print packing slips for same-day deliveries.

Fulfil all B2C orders via Shopify and email, ensuring team access and tracking.

Coordinate with finance to ensure all B2B orders are supported with RAW or RBTL invoices.

Verify 100% order accuracy during packing vs. invoice or packing slip.

Conduct inventory checks of packaging materials, including coffee bags and cartons.

Perform weekly finished goods inventory counts and submit reports.

Monitor warehouse movements and ensure no goods are dispatched or removed without approved documentation.

Log daily temperature and humidity readings in RCCL and RBTL storage and update Food Watch.

Complete daily hygiene checklists for all personnel handling food products and deliveries.
