The AP Accountant is responsible for managing and executing all aspects of accounts payable operations. This includes processing invoices, maintaining vendor relationships, ensuring compliance with company policies, and accurately recording financial transactions. He/she will also ensure monthly stock reconciliations, stock verifications.
Key Responsibilities & Duties
- Invoice Processing: Receiving, coding, matching (purchase orders, receipts, invoices), and entering invoices into the accounting system, review invoices for accuracy, proper approval, and appropriate documentation;
- Payment Execution: Preparing weekly or monthly payment runs via cheques, ACH, or wire transfers, ensuring timely payments to vendors.
- Reconciliation: Reconciling vendor statements, investigating discrepancies, and resolving outstanding invoice issues.
- Compliance & Controls: Ensuring all expenditures align with company policies, tax regulations, and internal controls;
- Record Keeping: Maintaining accurate vendor master files, historical records, and filing documentation.
- Month-End Support: Assisting with audits, accruals, journal entries, and month-end/year-end closing procedures.
- As required, conduct other duties requested by the Accounts Controller or is delegate to ensure the professional operations.
Required Skills & Qualifications
- Education: Bachelor's degree in Accounting, Finance, or related field (often required), or equivalent experience.
- Experience: Previous experience in accounts payable, accounting, or bookkeeping, typically 3+years.
- Technical Skills: Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite) and MS Excel.
- Soft Skills: Strong attention to detail, accuracy, organizational skills, and vendor communication skills.
