Key Responsibilities
Invoice Processing:
- Accurately receive, verify, and process supplier/vendor invoices in a timely manner.
- Ensure all invoices are coded correctly to appropriate general ledger accounts.
- Match invoices against Purchase Orders (POs) and Delivery Notes to confirm quantities, pricing, and terms.
Vendor Payments:
- Prepare and execute payments to vendors according to agreed payment schedules.
- Ensure all payments are approved and compliant with company policies.
- Manage online banking transfers, cheques, and other payment modes efficiently.
Accounts Payable Ledger Management:
- Maintain detailed AP ledgers and ensure all vendor accounts are updated accurately.
- Reconcile monthly AP balances and resolve discrepancies promptly.
- Monitor vendor statements to ensure timely clearing of outstanding amounts.
Vendor Coordination:
- Act as the primary point of contact for vendor queries regarding invoices, payments, or reconciliations.
- Investigate and resolve invoice discrepancies, including price differences, missing approvals, or incomplete documentation.
- Build and maintain strong relationships with vendors to facilitate smooth operations.
Compliance & Documentation:
- Ensure adherence to UAE VAT regulations and company accounting policies in all AP activities.
- Maintain proper filing of invoices, receipts, and other supporting documents for audit purposes.
- Assist in developing and implementing internal controls to prevent errors or fraud.
Month-End & Year-End Activities:
- Support month-end and year-end closing activities by providing accurate AP data.
- Prepare necessary schedules, reconciliations, and reports for management review.
- Ensure timely submission of VAT returns and other regulatory requirements related to AP.
Audit Support:
- Provide required documentation and explanations to internal and external auditors.
- Assist in resolving audit queries and implement recommendations related to AP processes.
Cross-Functional Coordination:
- Work closely with Procurement, Finance, and Management teams to ensure smooth operational workflows.
- Support procurement in tracking approved budgets and purchase orders.
- Communicate effectively to resolve discrepancies between purchase orders, deliveries, and invoices.
Process Improvement:
- Identify gaps or inefficiencies in AP processes and suggest improvements.
- Participate in automation or digitalization initiatives to enhance payment efficiency and accuracy.
- Train or guide junior staff or colleagues in AP processes when required.
Reporting & Analysis:
- Prepare regular AP reports, aging analysis, and cash flow projections.
- Highlight potential issues like overdue payments, discrepancies, or vendor concerns to management.
- Analyse trends in vendor payments and propose solutions to optimize cash management.
Requirements:
- Strong knowledge of Accounts Payable processes and best practices.
- Hands-on experience with UAE VAT compliance, specifically related to AP transactions.
- Proficiency in accounting software and advanced MS Excel skills.
- Excellent reconciliation and reporting abilities with attention to detail.
- High level of accuracy in processing transactions and maintaining records.
- Ability to manage multiple vendors and meet tight deadlines efficiently.
Preferred Criteria:
- Prior experience in the UAE real estate industry.
