Key Responsibilities
1. General Administrative & Office duties
- Oversee and streamline all general administrative functions to ensure day-to-day operational excellence.
- Handle all incoming/outgoing mail, couriers, and critical company documentation. Ensure proper filing systems and compliance with local Egyptian regulations.
- Supervise the reception area and front-office team to ensure a professional and welcoming environment for all employees and visitors.
- Manage office supplies inventory, and vendor contracts for administrative services.
- Prepare periodic reports on service performance and issue resolutions.
- Assist in developing policies to improve administrative services.
- Ensure compliance with company standards by vendors and staff.
2. Facility & Site Management
Oversee the day-to-day operations of all company premises including both the Cairo corporate office and the Ain Sokhna dry port facility.
- Coordinate and follow up with the Engineering team to implement a preventive and corrective maintenance program for all ground, building and landscape works such as civil and MEP (Mechanical, Electrical, and Plumbing) systems.
- Manage onsite security personnel to ensure the safety of assets and personnel in a high-traffic logistics zone. Develop and enforce robust security protocols & act as the primary facilitator for emergency response plans (fire, medical etc.)
- Direct all housekeeping, pest control, and landscaping activities to ensure a professional and hygienic environment. Managing vendor selection, negotiation and performance ensuring high quality service & cost effectiveness.
- Supervise buffet and catering services for staff and visitors across both locations.
3. Fleet & Transportation Logistics
Manage a robust transportation network to bridge the gap between Cairo, Suez, and the Sokhna port.
- Manage the maintenance, licensing, fuel consumption, and Insurance of four company-owned vehicles.
- Coordinate the scheduling and quality control of rented buses/vans for employee transport (Cairo Sokhna and Suez Sokhna) whilst implementing tracking system to monitor routes & ensure efficiency.
- Supervise company drivers ensuring the highest standards of safety, professionalism & punctuality are met and evaluate the performance of third-party transportation providers.
4. Governmental Relations & Compliance
Navigate the regulatory landscape of the SCZONE and ensure the facility remains compliant with local laws.
- Lead the issuance and renewal of essential governmental permits for employees entering and working within the dry port.
- Build and maintain strong relationships with the Egyptian Police, Civil Defence (Firefighting), and Ambulance services to ensure rapid response and compliance with safety drills.
Required Qualifications:
- At least 10 years in Admin/Facility and Fleet Management, preferably in Logistics, Ports, or Oil & Gas.
- Bachelor's degree in business administration, Engineering, or a related field.
- Native Arabic and Professional English (written and spoken).
- Familiarity with Egyptian Labor Law, Facilities regulations, Civil Defence codes, and SCZONE regulations.
- High-level contract negotiation, vendor management & crisis management.
- The ability to multitask, manage and prioritize across projects & locations.
- Capable of effective communication across all levels within the organization.
- Proficiency in Microsoft Office Suite.

- Demonstrates & exercises sensitive information with a high level of integrity and discretion.
