Job Summary

The Administration & Vendors Management Lead is responsible for overseeing procurement, vendor governance, and general administration operations for the Egypt office. The role ensures cost efficiency, risk mitigation, regulatory compliance, and operational excellence while maintaining strong vendor relationships and delivering measurable year-on-year savings.

Key Responsibilities

  • Perform advanced or specialized work that requires comprehensive knowledge of procurement, vendor management, and above average seasoning
  • Responsible for managing contracts with different vendors.
  • Develop non-standard reports and statements.
  • May design information systems to facilitate analysis
  • Provides the back up to the Head of Procurement during vacations and other leaves.
  • Reviews purchasing decisions, orders, and vendor contracts.
  • Oversees the ordering of materials and supplies from vendors.
  • Researches, interviews, and negotiates with suppliers to obtain prices and specifications. Familiar with a variety of the field's concepts, practices, and procedures.
  • Relies on experience and judgment to plan and accomplish goals.
  • Reports to Head of Egypt COE & Head of Central procurement
  • Manages, motivates, and assesses the performance of the administration team
  • Also performs the role of managing General Administration functions covering the office administrative needs.
  • Responsible for managing General Administration budgets for the entire office.

KPIs

  • Successful identification, evaluation, and qualification of new vendors/suppliers in line with governance standards.
  • Completion of RFQ/RFI/RFP processes within agreed timelines and in compliance with internal procurement policies.
  • Achievement of year-on-year cost savings through effective negotiation, cost avoidance, and demand management initiatives.
  • Vendor performance review completion rate and measurable improvement in vendor service quality.
  • Adherence to agreed Service Level Agreements (SLAs) for all procurement and administration activities.
  • Effective risk identification and mitigation in vendor contracts, with documented stakeholder risk acceptance where applicable.
  • Accuracy and compliance in contract documentation (LOI, SOW, LOE, LPO, etc.).
  • Administration budget management within approved limits.
  • Continuous improvement initiatives implemented to enhance vendor efficiency and value for money.
  • Maintenance of ethical vendor relationships and zero compliance breaches.

Qualifications

  • Bachelor's degree in Business Administration or related discipline.
  • Significant experience in procurement, vendor management, and general administration within structured or regulated environments.
  • Proven track record of achieving cost savings and meeting strict SLAs.
  • Experience handling RFQ/RFP processes, contract negotiations, and vendor evaluations.
  • Strong exposure to facility management, leasing, property management, and logistics oversight.
  • Strong integrity and ethical standards.
  • Excellent negotiation and stakeholder management skills.
  • Strong analytical thinking and problem-solving capability.
  • Results-driven with ability to deliver against stretched targets and timelines.
  • High reliability and ability to operate with minimal supervision.
  • Advanced knowledge of procurement processes, vendor governance, and contract management.
  • Strong understanding of local Egyptian market conditions, real estate landscape, and supply-demand dynamics.
  • Knowledge of facility management, leasing, rental dispute management, interior fit-out, fleet, and logistics management.
  • Risk identification and mitigation planning capability.
  • Advanced proficiency in MS Office (especially Excel and reporting tools).
  • Experience using analytical tools and procurement systems.
  • Working knowledge of technology solutions related to procurement, administration, and finance functions.
  • Fluent in English (written and verbal).
  • Ability to balance cost, quality, compliance, and brand reputation.
  • Capability to manage complex vendor ecosystems and multiple stakeholders.
  • Strong commercial awareness and market forecasting ability.
  • Ability to align business expectations with vendor deliverables through structured planning and governance.
