Job Description

Trillium Pumps Italy is looking for an Administrative & Accounting officer.

Administrative & Accounting Officer support the day-to-day operations of our Service Center in Abu Dhabi. The role ensures smooth administrative workflows, accurate accounting activities, efficient procurement support, and effective office management.

The position may also include tasks related to PRO (Public Relations Officer) activities depending on operational needs.

Responsibilities

Including but not limited to:

Administrative & Office Management

  • Oversee daily office operations to ensure a well‑organized, efficient working environment.
  • Manage/ archive of general document control: contracts, service orders, delivery notes, certifications, internal records, digital archiving.
  • Support HR administrative tasks: attendance, expense reports, travel requests, internal communications through a newly implemented automated system.
  • Coordinate if necessary with external service providers (facility, utilities, security).
  • Maintain office supplies, service contracts, maintenance scheduling, and general office logistics.

Accounting & Finance Support

  • Register (AP & AR) supplier and customer invoices, ensuring alignment with purchase orders and delivery documentation.
  • Support reconciliations and month‑end closing activities in coordination with headquarters and local management.
  • Monitor open items and follow up with customers and suppliers through concerned colleagues.
  • Support financial reporting, budgeting inputs, and operational cost tracking.

Procurement & AP Management

  • Receive Purchase Requests from internal departments.
  • Issue Purchase Orders in line with TFES procedures and standards.
  • Register accepted supplier invoices after requester approval.
  • Prepare and submit the monthly Accounts Payable listto the General Manager for prioritization and payment scheduling.
  • Support suppliers follow‑up, order confirmations, and import/export documentation.

PRO (Public Relations Officer)

Support visa processing, work permits, and government correspondence if assigned.

  • Coordinate with local authorities / entities for required approvals.
  • Maintain confidential employee documentation in compliance with local regulations.

Qualifications

  • Diploma or bachelor's degree in accounting, Administration, Business, or related fields.
  • 2–4 years experience in administrative or accounting roles
  • Good English language skills (written and spoken)
  • Experience in industrial or service environments is preferred
  • Previous experience with PRO tasks is an advantage but not mandatory

Computer Skills:

  • Proficiency in MS Office (Excel preferred); knowledge of ERP systems is a plus.
