The Administrative Assistant will provide reliable administrative and clerical support to the RIKAS corporate team, ensuring smooth day-to-day operations. This role is reserved for UAE National only.
Key Responsibilities
Administrative Support
- Handle daily office tasks such as filing, scanning, photocopying, and document preparation.
- Maintain organized digital and physical filing systems.
- Draft and format letters, memos, internal notes, and reports.
- Manage and update databases, trackers, and basic spreadsheets.
Office Coordination
- Assist with coordinating meetings, preparing meeting agendas, and taking minutes.
- Manage calendars and schedule appointments for managers when required.
- Support in arranging travel bookings, hotel reservations, and transport coordination.
- Ensure office supplies, stationery, and pantry stock levels are maintained.
Communication & Customer Service
- Serve as the first point of contact for internal and external communications.
- Handle incoming calls, emails, and inquiries professionally and efficiently.
- Support HR, Finance, and Operations teams with basic admin requests.
- Coordinate courier services, deliveries, and document collections.
Documentation & Compliance
- Assist with preparing forms, HR documentation, and internal approval processes.
- Maintain confidential records with a high level of discretion.
- Support in processing invoices, petty cash submissions, and basic data entry.
Requirements
Education & Experience
- UAE National (Emirati only) with Family Book ( ).
- High school diploma or bachelor's degree preferred.
- 03 years of administrative or office support experience (fresh graduates welcome).
Skills & Competencies
- Strong communication skills in English; Arabic proficiency preferred.
- Good knowledge of MS Office (Outlook, Word, Excel, PowerPoint).
- Professional, organized, and detail oriented.
- Ability to multitask and manage time effectively.
- Positive attitude with a willingness to learn.
