Job Summary

Ennero FZCO is seeking a reliable and detail-oriented Administrative Assistantto support day-to-day office operations and provide administrative support to the management and operations team.

The ideal candidate will help ensure smooth office workflow, maintain accurate records, coordinate communication, and support internal processes in a fast-paced oil & gas trading environment.

Administrative assistants typically handle scheduling, documentation, correspondence, and office coordination to keep operations running efficiently and organized.

Key Responsibilities

Provide administrative and clerical support to management and operations team

Prepare and maintain quotations, LPOs, delivery documents, and reports

Coordinate with the sales department, suppliers, port agencies and transporters for order processing

Track orders and ensure timely documentation and communication

Provide 24/7 coordination support when required until delivery completion, ensuring clients and operations are updated on status

Manage calendars, meetings, and internal communications

Maintain organized filing systems

Handle emails, calls, and correspondence professionally

Assist with invoice tracking and basic documentation monitoring

Support logistics and operations with scheduling and follow-ups

Maintain confidentiality of company and client information

Administrative assistants commonly manage schedules, prepare reports, maintain records, and act as a communication link between teams and external stakeholders.

Requirements

  • Proven experience as an Administrative Assistant or Office Administrator
  • Experience in oil & gas, trading, or logistics industry is an advantage
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to handle confidential information with discretion
  • Strong attention to detail and problem-solving skills
  • Ability to work in a fast-paced environment
  • English fluent , Arabic - is an advantage
