Role Overview
To provide high-quality administrative and executive support to the COO, ensuring smooth daily operations and professional preparation of documents, reports, presentations, and meetings.
Key Responsibilities
Executive & Administrative Management
- Fully manage the COO'scalendar, meetings, and scheduling
- Coordinate internal and external meetings, interviews, and calls
- Prepare meeting agendas, notes, and follow-up action items
- Act as a coordination point to reduce ad-hoc requests and interruptions
- Handle day-to-day administrative tasks on behalf of the COO
- Track tasks, priorities, and deadlines to ensure timely follow-up
Documents, Contracts & Reporting
- Draft, format, and maintain:
- Contracts and agreements (using provided templates)
- Internal documents and policies
- Executive reports and summaries
- Ensure all documents are accurate, structured, and professionally formatted
- Maintain organized document repositories and version control
- Support the COO in preparing management and stakeholder reports
Microsoft Office Excellence (Core Requirement)
- Microsoft Word:professional formatting, long documents, contracts, tables, styles
- Microsoft Excel:trackers, logs, reports, formulas (basic to intermediate)
- Microsoft PowerPoint:clean, structured executive-level presentations
Required Qualifications
- Bachelor's degree (any relevant field)
- 2+ yearsof experience in an administrative, executive assistant, or operations support role
- Very strong proficiency in Microsoft Word, Excel, and PowerPoint(non-negotiable)
- Excellent written and verbal communication skills
- High attention to detail and strong organizational skills
- Ability to work independently and take ownership of tasks
- High level of confidentiality and professional discretion
