Job Description

Position Title: Administration Officer (HR & PRO)

Industry: Engineering Consultancy

Location: UAE

Experience Required: Minimum 4 years

Job Summary

We are seeking a detail-oriented and reliable Administration Officer with proven experience in HR operations, PRO services, and administrative support within an engineering consultancy environment. The ideal candidate will have strong knowledge of UAE Labour Law, government procedures, and software systems, and will support both technical teams and management in daily operations.

Key Responsibilities

Administration
  • Manage daily office administration for the engineering consultancy
  • Maintain organized filing systems for project, HR, and company records
  • Prepare official letters, reports, memos, and engineering-related documentation
  • Coordinate administrative support for engineering projects and consultants
  • Manage office supplies, vendors, and service providers

Human Resources (HR)
  • Support recruitment, onboarding, and offboarding of technical and non-technical staff
  • Maintain employee files, contracts, certifications, and CV records
  • Manage leave, attendance, timesheets, and coordination with payroll
  • Assist in performance appraisals, training records, and compliance documentation
  • Ensure HR practices align with UAE Labour Law and company policies

PRO & Government Relations
  • Handle visa processing, renewals, cancellations, and status changes
  • Process Emirates ID, medical tests, labour cards, and immigration applications
  • Liaise with MOHRE, GDRFA, municipalities, free zones, and other authorities
  • Track expiry dates for visas, licenses, and staff certifications
  • Maintain accurate PRO trackers and compliance reports

Software & Systems
  • Proficient in MS Office (Excel, Word, Outlook, PowerPoint)
  • Experience using HRMS / ERP / Document Control Systems
  • Support project documentation, trackers, dashboards, and reporting
  • Maintain digital records for engineering projects and HR documentation
  • Ability to adapt to engineering and project management software

Qualifications & Experience
  • Bachelor's degree in Business Administration, HR, Engineering Administration, or related field
  • Minimum 4 years of experience in administration with HR & PRO exposure
  • Mandatory experience in an engineering consultancy or related technical firm
  • Strong understanding of UAE Labour Law and government procedures
  • Experience supporting engineers, consultants, and project teams

Skills & Competencies
  • Excellent organizational and multitasking abilities
  • Fluency in Arabic and English (spoken and written) mandatory
  • Strong written and verbal communication skills (English required; Arabic preferred)
  • High attention to detail and confidentiality
  • Ability to work under pressure and meet deadlines
  • Professional attitude and strong coordination skills
