We are seeking a highly organized and proactive Secretary to provide comprehensive administrative support to our Research & Development team. The ideal candidate will be detail-oriented, discreet, and comfortable working in a fast-paced, innovation-driven environment.
Key Responsibilities
- Manage and maintain executives calendars, schedule meetings, and coordinate appointments
- Handle incoming and outgoing correspondence (emails, letters, calls) on behalf of the R&D department
- Prepare, format, and proofread technical documents, reports, presentations, and meeting minutes
- Organize and maintain confidential files, records, lab documentation, and research archives
- Coordinate travel arrangements and itineraries for R&D staff and visiting researchers
- Liaise with internal departments, external vendors, academic institutions, and regulatory bodies
- Assist in tracking research project timelines, deadlines, and deliverables
- Manage procurement of office and lab supplies; monitor departmental budgets and expenses
- Support organization of seminars, conferences, workshops, and R&D review meetings
- Maintain confidentiality of proprietary research and sensitive company information at all times
Qualifications & Requirements
Education: Bachelor's degree in Business Administration, Office Management, or related field. Diploma in Secretarial Studies is an advantage.
Experience: Minimum 24 years as a secretary or executive assistant; experience in a technical or R&D environment is strongly preferred.
Skills:
- Excellent written and verbal communication in English
- Proficiency in MS Office Suite and document management systems
- Strong organizational and time-management skills
- High level of discretion with confidential information
- Familiarity with scientific terminology and research documentation is a plus
