The Role
As an Assistant Spa Manager, you will support the Head of Spa and Recreation in managing the daily operations of the spa and boutique activities within the resort. The Assistant Spa Manager assists in providing the leadership and management of the Spa Department. This includes supervising the team, ensuring the company standards are consistently applied, participating in operational decisions, creating, developing and implementing treatments. The role is required to occasionally performing spa treatments to support the smooth operation. The assistant spa manager must be demonstrating effective retail management and delivering high level of service to guests.

Leadership & Team Management
- Assist the Head of Spa and Recreation in managing the daily operations of the spa operations services offered to guests.
- Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards
- Lead and supervise the spa team, providing guidance and feedback to ensure high performance and a positive work environment.
- Conducting the spa training to ensure that spa standards are wellmaintained, consistently applied, and strictly followed by the entire team.

- Conduct performance reviews and assist in resolving any team challenges or issues.
- Support recruitment, onboarding, and continuous professional development.
- Facilitate regular briefings and training sessions to reinforce service excellence.
- Encourage a positive team culture built on collaboration and accountability.
- Demonstrate flexibility to cover team members job tasks and help out in any service area as and when required.
- Be articulate in spa and recreation operational programs: Reservation system, Purchase Orders, Payroll and others.
- Train, coach and motivate associates in their daily job roles and act as role models.
- Hold regular departmental meetings to keep the team up to date on all aspects of the hotel operation.
- Ensure that the spa and boutique are thoroughly cleaned, well maintained, and fully inspected before opening hours, with all maintenance issues reported and followed up promptly.
Guest Experience
- Coordinate and oversee the design and execution of engaging weekly activities and events that align with the resort's guest experience objectives.
- Ensure that all weekly spa activities programs are well-structured, enjoyable, and meet the diverse needs of guests.
- Personalize guest experiences by providing recommendations and ensuring their wellness goals are met.
- Gather and analyze guest feedback to refine and improve the spa services.
- Ensure that guest feedback and preference are recorded in Book4Time and Opera
- Perform other duties as assigned.
Inventory & Financial Contribution
- Monitor spa retail and professional inventory, ensuring accurate tracking and replenishment.
- Support revenue targets through retail upselling and treatment optimization
- Assist in budget control and productivity planning to enhance financial performance.
- Ensure that the daily revenue is accurately tallied and follow up on any discrepancies or shortfalls on a daily basis.
- Ensure that weekly inventory for spa and boutique is being review closely
Operational Efficiency
- Ensure that the spa and boutique are very well maintained and inspected before the opening hours.
- Monitor the operational aspects of recreational areas, ensuring that all equipment and facilities are well-maintained, clean, and fully operational.
- Ensure that all safety protocols are followed and that the team adheres to health and safety regulations while delivering spa treatments.
- Conduct weekly and monthly therapist training to ensure our team stay focused and update with the spa trends
- Ensure all wellness equipment (yoga pavilion, gym, cabanas, treatment rooms) is safe and fully operational
- Prepare and maintain all necessary schedules, ensuring proper staffing levels during peak and off-peak hours.
- Ensure the team accurately records all prearrival preferences, bookings, and dietary requirements, and supervise therapists to execute the service according to the information provided.
- Ensure that all the services and glitches are being recorded and follow up on Alliants System
- Assist in budget planning and cost control, ensuring that all activities are executed within the allocated budget while maintaining quality and guest satisfaction.
Collaboration with Other Departments
- Collaborate with other departments such as Food and Beverage, Front Office, and Housekeeping to ensure smooth operations and cross-departmental support for recreational activities.
- Coordinate with guest services to address special requests, VIP guest activities, or group bookings for recreational events.
- Coordinate with engineering manager to report and follow up maintenance needed at spa and recreation area
- Conduct regular walkthrough with housekeeping team to ensure the spa ambiance is very well maintained.
- Coordinate with training and development department to ensure all team members receive training to enhance the skill set and stay updated with any changes
- Coordinate with the Digital Concierge team to update the spa services when launching new services or any changes made from spa operations
Reporting & Administration
- Maintain accurate records of spa operations, including attendance, guest feedback, and performance metrics.
- Provide the Head of Spa and Recreation with regular reports on spa performance, guest satisfaction, and any operational issues.
- Maintain accurate records of daily sign in and out in OASYS, upload schedule and ensure to submit sick leave paper accordingly.
- Complete monthly attendants in OASYS for payroll.
- Assist in the preparation of reports related to departmental performance, budget usage, and staffing levels.
- Ensure all relevant documentation, including health and safety certifications, is up-to-date and stored appropriately.
- Handle any administrative tasks, including scheduling, reporting, and tracking equipment inventory.
Key Qualifications
- Candidate must have experience in a Forbes 5-Star property and/or a Michelin 23 Keys establishment.
- Therapist background and international spa certification (CIDESCO, CIBTAC, ITEC or equivalent) are mandatory.
- Minimum of 5 years of experience in the spa and wellness industry, with at least 2 years in a leadership role.
- Bachelor's degree in hospitality management, spa management, or a related field.
- Strong knowledge of spa and retail operations, guest services, and hospitality operations.
- Proven experience in team management and leadership, with excellent interpersonal and communication skills.
- Excellent problem-solving and organizational skills.
- Strong customer service orientation, with a passion for delivering exceptional guest experiences.
