Overview Job Purpose and Objective

The Associate, Support is responsible for providing administrative, operational, and research assistance that enables the effective functioning of the Compliance department. While primarily aligned with Enterprise Compliance & Reporting, this role supports compliance managers and teams, contributing to the timely delivery of regulatory reporting, statutory filings, and general compliance processes. Responsibilities span across documentation management, coordination, recordkeeping, and facilitating communication within the department.

Key Responsibilities and Accountabilities

  • Assist with the collation, organization, and filing of compliance documentation and statutory records in line with internal policies and regulatory requirements.
  • Support the preparation, formatting, and submission of regulatory reports, statutory filings, and related documentation.
  • Help maintain, review, and update compliance databases and systems to ensure accuracy and completeness of information.
  • Provide scheduling, coordination, and logistical support for compliance meetings, regulatory interactions, training sessions, and project milestones.
  • Compile and distribute data, materials, and status updates required for compliance initiatives or internal/external audits.
  • Facilitate communication within the compliance team regarding outstanding actions, deadlines, and required follow-ups.
  • Undertake basic research and provide analysis support for regulatory updates, compliance process improvements, and ad hoc projects.
  • Monitor and track progress on action items related to reporting and filing requirements, escalating issues as necessary.
  • Assist the Manager, Enterprise Compliance & Reporting as well as other compliance managers with day-to-day operational tasks as required.
  • Perform other related administrative and support duties to help secure efficient and effective compliance department outcomes.

Qualifications

  • Bachelor's degree in Finance, Economics, Business, Law, or a related discipline.
  • Prior experience in office administration, compliance, or records management considered an advantage.

Experience

  • 13 years of experience in an administrative, support, or operations role within a financial services, legal, or compliance environment.
  • Exposure to compliance processes, regulatory reporting, or documentation management is desirable.
  • Experience working in cross-functional teams and supporting multiple stakeholders considered an advantage

Skills and Competencies

  • Strong organizational and time management abilities.
  • Attention to detail with accurate documentation and recordkeeping skills.
  • Familiarity with MS Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of compliance or document management systems an advantage.
  • Effective communication and coordination capability to support team activities and deadlines.
  • Ability to work collaboratively across multiple teams and adapt to shifting priorities.
