Note: Employment Type: Temporary Contract (6 Months Maximum)

The Branch Operations team serves as the custodian of the client's legal and credit files, managing cash management activities and instruction management for both trade and non-trade operations. The mission is to support the business by providing excellent client service, handling operational requirements efficiently, and maintaining a customer-oriented attitude while strictly adhering to the bank's internal procedures and policies.

MAIN RESPONSIBILITIES

Instruction Management Activities:

  • Handle all Trade Finance transactions for clients within the prescribed Turnaround Time (TAT).
  • Dispatch processed documents to clients/banks with all necessary endorsements.
  • Conduct timely follow-ups on pending transactions and identify any anomalous nature of transactions.
  • Ensure required controls are applied to mitigate operational risks.
  • Initiate requests and relay transactions using the bank's internal applications.
  • Manage client debit instructions to the Wages Protection System (WPS) team where required.
  • Ensure the safekeeping of client legal files (including original indemnities for Fax, WPS, VAT, Trade, GPSSA, etc.).
  • Receive and scan documents related to client credit facilities to the CTM team and maintain credit files.
  • Ensure proper archiving and record maintenance for all trade and non-trade related documents.

Cash Management Activities:

  • Process inward and outward clearing as well as transfer cheques.
  • Manage rejected inward/outward and transfer cheques.
  • Handle override and exceptional transactions as per protocol.
  • Retrieve, verify, and file various reports related to the above activities.
  • Produce statistics related to all assigned activities for management review.
  • Perform daily controls related to activities under own scope and arrange archiving of records.
  • Follow up on original instructions when they are missing or pending.

EXPECTED CONTRIBUTIONS

  • Provide valuable inputs to the team to enhance organizational value.
  • Undergo cross-training and assist team members with related tasks to ensure operational continuity.
  • Maintain punctuality and participate actively in team meetings and special projects.
  • Act as a backup for colleagues as instructed by the reporting manager.
  • Contribute directly to the Permanent Control Framework and the improvement of quality management systems.

EVALUATION CRITERIA & KEY PERFORMANCE INDICATORS (KPIs)

  • Operational Accuracy: Ensuring no or minimum variance in assigned tasks (Daily).
  • Turnaround Time (TAT): Strictly abiding by the cut-off times for each operational task (Daily).
  • Audit & Benchmarks: Maintaining high audit ratings and meeting process benchmarks (Quarterly).
  • Operational Efficiency: Minimizing client complaints and incidents (Yearly).
  • Safe Desk Policy: Ensuring key documents are kept in fireproof cabinets and maintaining a clean desk (Monthly).
  • Risk Awareness: Following a risk-based approach and proper escalation matrix (Monthly).

COMPETENCIES, EXPERIENCE, AND SKILLS

Requirements (Must Have):

  • Banking Background: Previous experience in the UAE Banking sector is mandatory.
  • Education/Experience: Solid knowledge of banking systems, policies, and procedures.
  • Technical Skills: Proficiency in MS Office, specifically Excel.
  • Communication: Excellent communication skills and fluency in English.
  • Teamwork: Ability to work independently and as a team player to meet deadlines.
  • Client Orientation: Strong skills in client interaction and service mindset.

Preferred (Good to Have):

  • Bilingual Ability: Proficiency in Arabic is an advantage but not required.
