Job Description

Job Summary:

The Bids & Portal Coordinator provides essential support in the preparation, coordination, and submission of high-quality tender responses. The role combines responsibilities across tender document handling, internal coordination, and vendor portal administration. This includes reviewing tender submission requirements, managing company registration profiles across multiple procurement platforms, and ensuring timely, accurate, and fully compliant submissions.

The role is based in Egypt and will involve collaboration with the UAE-based team.

Key Responsibilities:

  • Maintain and update company profiles on client and government vendor registration portals (e.g. Tejari, Ariba, Oman Tender Board, etc.).
  • Ensure that all portals are submission ready. Track registration expiry dates, renewal requirements, and prequalification timelines.
  • Coordinate with the client procurement team and internal stakeholders to resolve portal-related issues and support prequalification requests.
  • Monitor and log tender alerts from portals, email invitations, and direct client communications.
  • Review tender documents (RFPs, RFQs, RFIs) to extract key requirements, deliverables, deadlines, and evaluation criteria.
  • Coordinate with internal teams to collect and consolidate all required inputs for submissions.
  • Manage submission calendars, support version control, and uploads via email or client portals.
  • Maintain a central bid tracker/CRM capturing all submission details, clarifications, and outcomes.

Qualifications & Skills:

  • Bachelor's degree or diploma in Business Administration, Procurement, Communications, or a related field.
  • 1–3 years of experience in bids, tender coordination, or procurement registration support. Prior experience in the real estate sector is a plus.
  • Working knowledge of public and private procurement portals and vendor registration systems.
  • Ability to review and interpret tender documents and basic contract terms.
  • Proficient in Microsoft Office (especially Word, Excel, and Outlook).
  • Strong attention to detail, organizational skills, and the ability to manage multiple deadlines.
  • Good interpersonal and communication skills for internal coordination and external liaison.
