This role is critical in facilitating seamless interactions between brokers, clients, and internal teams. The ideal candidate will be a proactive and professional individual with a strong understanding of real estate processes, exceptional coordination skills, and a commitment to providing outstanding service.

Key Duties and Responsibilities:

1. Broker & Client Relationship Management:

  • Act as the primary point of contact for brokers and clients visiting or inquiring with the DIP Sales Center.
  • Maintain excellent client service standards, ensuring a professional, welcoming, and supportive experience at all times.
  • Handle all incoming phone calls, emails, and inquiries related to brokerage activities and property sales promptly and professionally.
  • Assist in resolving any client or broker issues or concerns efficiently.

2. Transaction & Documentation Support:

  • Assist brokers with the preparation, processing, and follow-up on documentation, contracts, and transaction paperwork.
  • Ensure all client and broker transactions comply with company policies and regulatory requirements.
  • Maintain organized, up-to-date, and confidential records of contracts, agreements, and related documentation for easy reference and audit purposes.

3. Coordination & Scheduling:

  • Schedule and coordinate all property viewings, broker meetings, client meetings, and site visits.
  • Ensure the Sales Center is fully prepared, presentable, and equipped for all appointments, meetings, and events.
  • Coordinate effectively between the sales, marketing, and management teams to ensure smooth day-to-day operations and alignment of objectives.

4. Administrative & Operational Duties:

  • Maintain accurate and up-to-date records of broker interactions, client inquiries, and property sales activities.
  • Prepare, organize, and manage inventory of property brochures, presentations, and promotional materials.
  • Perform any other duties as assigned by the Sales Center Manager or management to support the center's goals.

Required Qualifications and Experience:

  • Bachelor's degree in business administration, Real Estate, Marketing, or a related field is preferred.
  • 1-3 years of experience in real estate sales support, brokerage coordination, or customer service within a property development/real estate company.
  • Proven experience in coordinating with brokers, clients, and sales teams is highly preferred.
  • Strong understanding of real estate brokerage and end-to-end property sales processes.
  • Excellent communication, interpersonal, and customer service skills.
  • Exceptional organizational and multitasking abilities with a keen attention to detail.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Ability to maintain strict confidentiality and handle sensitive documents with discretion.
  • Client-focused mindset with a professional, courteous, and proactive demeanor.
