Business Centre Receptionist

We are seeking an experienced and polished Receptionistto manage the front office and ensure an exceptional client experience within our premium serviced office centre. This role is ideal for someone who thrives in a professional, service-driven environment and takes pride in maintaining the highest standards of presentation and customer care.
Front Office & Client Experience
- Manage reception and act as the first point of contact for all clients and visitors
- Deliver high-level customer service, handling enquiries and client requests
- Support meeting room set-ups, video conferencing arrangements, and client bookings
- Ensure all phone calls are answered professionally and messages are handled promptly
- Provide administrative and secretarial support, including printing, binding, scanning, and related tasks
Centre Presentation & Operations
- Maintain the presentation and upkeep of reception, meeting rooms, caf lounge, and all common areas
- Open and close the centre in line with operational procedures
- Ensure marketing collateral, presentation packs, and supplies are always available
- Oversee housekeeping, pantry, and security teams to ensure smooth daily operations
- Uphold dress code and service standards in line with company expectations
Administration & Documentation
- Update and maintain client contact information, records, and CRM/ERP systems
- Manage move-in and move-out documentation for clients
- Coordinate catering orders, stationery requests, couriers, and service charge slips
- Sort and distribute incoming mail and ensure clients are informed promptly
- Record maintenance issues, ensure follow-up, and escalate when required
Sales Support & Revenue Generation
- Promote in-centre services to clients and identify upsell opportunities
- Respond to and convert meeting room enquiries
- Support centre tours by presenting reception and service offerings to prospective clients
- Contribute to client retention by ensuring consistent service quality
Compliance & Safety
- Adhere to internal policies, procedures, and compliance requirements
- Report hazards or incidents and support emergency procedures
- Participate in required training, drills, and development programs
Candidate Requirements
- Minimum 3 years of UAE experience in front office, serviced offices, or customer service roles
- Bachelor's degree in Business Administration, Operations, Hospitality, or a related field
- Strong communication skills with fluent English
- Proficient in MS Office and comfortable using CRM/ERP systems
- Highly organised, detail-oriented, and able to multitask in a fast-paced environment
- Well-presented, professional, and confident when dealing with clients
- Ability to work independently and collaboratively
- Flexible availability, including occasional weekends or events
