Job Description

The Contracts Officer Procurement is responsible for supporting procurement and contracting activities by coordinating with internal stakeholders (Contracts, Legal, Audit, Finance, and Operations) and external parties such as subcontractors, suppliers, and service providers.

Key Responsibilities

  • Assist the procurement team in preparing contract documents and administering procurement and subcontract agreements.
  • Coordinate contract documentation including RFQs, LOIs, contracts, amendments, and variations.
  • Ensure all contracts comply with company policies, legal requirements, audit standards, and authority matrices.
  • Maintain accurate and up-to-date records of contracts, approvals, and related correspondence.
  • Maintain contract registers, procurement records, and trackers in the system.
  • Ensure timely updates of contract data in ERP / procurement systems.
  • Liaise with Contracts, Legal, Audit, Finance, and Project Teams for contract reviews, approvals, and clarifications.
  • Coordinate with site/project teams and ensure all signed contracts are shared with the relevant projects.
  • Coordinate with subcontractors and suppliers for contract signing, follow-up, and document collection.
  • Ensure compliance with company procurement policies, IT regulations, and industry standards.
  • Maintain accurate procurement documentation for internal and external audit purposes.
  • Support audits by providing contract-related documentation and explanations as required.
  • Assist in pre-qualification and evaluation of subcontractors and suppliers.
  • Support the resolution of contractual queries and issues in coordination with relevant departments.
  • Monitor contract compliance, deliverables, and performance in coordination with project teams.
  • Support contract renewals, extensions, variations, and close-outs.
  • Ensure procurement contracts are aligned with approved budgets and financial controls.
  • Identify contractual risks and escalate issues to management for timely resolution.
  • Prepare contract status reports, summaries, and performance trackers.

Job Requirements -

  • Educational Qualifications - Bachelor degree in any discipline.
  • Experience minimum 5 years
  • Experience in procurement or contract administration (industry-specific experience preferred).
