Job Description

Reports to: Manager, Graduate Admissions

Purpose:

The purpose of this role is to support most phases and functions of the admission and matriculation process for both degree-seeking and non-degree seeking applicants, including Egyptian and International graduate candidates. This role involves regularly verifying newly received applications, credentials, and admission-related test results, and subsequently updating their data on Banner and Documentum to prepare for application evaluations by the admission specialists. Additionally, it is key to check, document, and follow up on the mapping of online application fields to Banner. The position also entails verifying received online letters of recommendation and matching them to the applicants files for distribution among the respective team specialists.

Responsibilities:

  • Conducting the preliminary evaluation of the received credentials and admission related test results
  • Updating banner with applications related information
  • Checking that data mapped through online applications is recorded correctly in the respective fields
  • Conducting preliminary verification of accreditation for transcripts submitted by applicants
  • Following up with the applicants for the proper completion of their admission files
  • Responding to emails as assigned
  • Checking that documentum is updated with newly received credentials
  • Reviewing received test results and updating banner with those results and their placement
  • Preparing and emailing letters for those denied admission
  • Preparation and maintenance of physical files for applicants as needed
  • Managing the letters of recommendation (LOR): receives the LOR notifications from CollegeNet and traces the letters accordingly, then matches them to the applicants AUC ID numbers, and with this done the letters are forwarded to the respective graduate admission's specialists
  • Cross checking reference lists of online applications received against actual applications received
  • Validating the data mapping of the online applications onto the different Banner fields (such as personal identification details and other bio-data)
  • Ensuring that documentum is updated with copies of all credentials received
  • Preparing individual applicants files in the graduate admission's shared folder, and updates them regularly as credentials are received
  • Assisting in local recruitment events by responding to any admission related inquiries
  • Ensuring prompt communication with the relevant programs as needed by the team
  • Assisting team members in responding to queries from applicants
  • Filing application forms and retrieving them as needed by the team
  • Responding to phone calls and walk-in inquiries as needed

Requirements:

Minimum Education Requirements:

  • Bachelor's degree in a relevant field

Experience:

  • A minimum of 3 years of experience in an administrative position, and preferably related to higher education `

Skills:

  • Good written and spoken English
  • Knowledge of banner is an asset
  • Good knowledge of Microsoft applications, especially Word & Excel.
  • Ability to work with a team under stress during peak period
  • Good customer service is an asset
