About International Office Unit:
To deliver on the global expansion ambitions of the UAE's leadership, AD Ports Group senior management established the international offices (IO) in March 2022. The main function is the origination, assessment, transaction development and implementation of global projects, as well establishing and maintaining relationships with government stakeholders, customers and other partners enabling AD Ports Group to become a true global player in trade and logistics. The operational activity of IO currently focuses in four main geographical regions – Africa, Middle East, Indian Subcontinent & Southeast Asia and Central Asia.
AD Ports Group now has presence in almost 40-plus countries. Some well-established operations, some developing projects and some markets are just opening. The international office focuses on developing projects that support the five clusters of AD Ports Group (Ports, Maritime & Shipping, Logistics, Digital and ECFZ). IO acts as the central bolt connecting these five clusters, bringing them together for projects that benefit the overall growth of trade and industry in the said regions.
Job Purpose:
The
PMO Coordinator supports the PMO Director in managing and coordinating project governance, reporting, and operational activities for an international office within a global ports and logistics business. This role ensures the effective implementation of PMO processes, supports project teams, and enhances efficiency in project delivery across multiple regions.
Responsibilities
Core Responsibilities:
- Assist the PMO Director in implementing and maintaining project management methodologies, standards, and best practices.
- Support the development and monitoring of project governance frameworks, ensuring compliance with corporate policies and industry standards.
- Track project progress, risks, and issues, ensuring timely updates to senior management.
- Facilitate communication between project teams, stakeholders, and leadership.
- Consolidate project schedules, deliverables, and milestones across multiple international programs.
- Prepare periodic status reports, dashboards, and presentations for executive management and stakeholders.
- Monitor key performance indicators (KPIs) and project health metrics to support decision-making.
- Assist in resource planning and capacity management for project teams.
- Coordinate meetings, workshops, and governance reviews with global and regional teams.
- Act as a liaison between international project teams, ensuring alignment on project objectives and priorities.
- Support internal and external audits, ensuring documentation and compliance readiness.
- Support risk assessment processes and track mitigation actions across projects.
- Assist in change management processes, ensuring smooth adoption of new tools, methodologies, and workflows.
- Document lessons learned and supported continuous improvement initiatives.
- Assist in tracking project budgets, expenditures, and financial forecasts.
- Support procurement processes, contract management, and vendor coordination as required.
- Maintain PMO documentation repositories, templates, and knowledge-sharing platforms.
- Assist in the administration and optimization of project management software (e.g., Primavera P6, MS Project, Power BI, or equivalent).
- Support the integration of digital tools and reporting systems to enhance project visibility.
Qualifications
- Bachelor's degree in Engineering, Business, Project Management, or a related field.
- Proficiency in Project management tools (MS Project, Primavera P6, Power BI, or equivalent).
- PMP, PRINCE2, or PMO certifications are a plus.
- Proficiency in English (written and spoken)
- Knowledge of additional languages relevant to the region is highly advantageous.
- Minimum of 3-7 years of experience in PMO coordination, project management, or related roles within ports, logistics, infrastructure, or transportation industries.
- Familiarity with PMO best practices, project governance, and risk management frameworks.
- Strong analytical, organizational, and communication skills.
- Experience working in international and multi-stakeholder environments is preferred.
