Job Description

Key Responsibilities

1. Order Processing & Fulfillment

  • Review, validate, and process customer orders through ERP/WMS systems.
  • Ensure accurate picking, packing, and dispatching of pharmaceutical products.
  • Prioritize orders based on urgency, delivery schedules, and product requirements.

2. NUPCO Portal Coordination

  • Manage shipments through the NUPCO portal.
  • Create and update ASN (Advance Shipment Notice) bookings in line with delivery schedules.
  • Ensure accuracy of shipment data (quantities, batch numbers, expiry dates) in ASN submissions.
  • Coordinate appointment scheduling and delivery confirmations via the portal.
  • Resolve portal-related discrepancies, rejections, or delays in ASN approvals.

3. Warehouse Coordination

  • Coordinate with warehouse teams to ensure efficient picking, packing, and staging.
  • Verify batch numbers, expiry dates, and quantities before dispatch.
  • Ensure proper handling of temperature-sensitive and controlled pharmaceuticals.

4. Compliance & Quality Assurance

  • Ensure compliance with SFDA (Saudi Food and Drug Authority) regulations and GDP (Good Distribution Practice).
  • Maintain full traceability of products through proper documentation.
  • Support internal and external audits, including regulatory inspections.

5. Transportation & Distribution

  • Coordinate with logistics providers for timely and secure deliveries.
  • Track shipments and proactively resolve delivery issues.
  • Ensure adherence to cold chain requirements where applicable.

6. Documentation & Reporting

  • Prepare delivery notes, invoices, and shipping documentation.
  • Maintain accurate outbound records, including ASN and delivery confirmations.
  • Generate reports on fulfillment performance, delays, and discrepancies.

7. Inventory Accuracy

  • Support stock reconciliation and cycle counts.
  • Report discrepancies, damages, or expired products.

8. Customer & Stakeholder Coordination

  • Liaise with customer service, sales, and key accounts regarding order status.
  • Address issues related to delivery shortages, delays, or rejections.

Qualifications & Requirements

Education

  • Bachelor's degree in Supply Chain, Logistics, Pharmacy, or a related field

Experience

  • 2–5 years in pharmaceutical logistics or warehouse operations
  • Hands-on experience with NUPCO portal and ASN booking is highly preferred

Skills

  • Familiarity with ERP/WMS systems (e.g., SAP)
  • Strong attention to detail, especially in batch and expiry tracking
  • Good communication and coordination skills
  • Ability to manage deadlines and regulatory requirements
