Duties and Responsibilities
General Tasks
- Participating in the preparation of the library's strategic plan, developing the department's operational plan, and defining performance indicators.
- Developing policies, procedures, regulations, and technical requirements related to archival services management based on best practices.
- Monitoring administrative operations such as planning, budgeting, reporting, service delivery, evaluation, and continuous improvement.
- Preparing the department's annual budget proposal.
- Managing organizational units within the supervisory scope, monitoring their performance, preparing periodic performance reports, and submitting development recommendations and proposals to the direct supervisor.
- Strengthening relationships with internal and external partners to ensure service delivery in accordance with best standards.
- Managing subordinates, developing plans to enhance their skills and capabilities, evaluating their performance, and motivating them in line with the Library's policies and procedures.
- Periodically monitoring performance indicators, reviewing achievement rates, preparing the department's annual report, and submitting it to the direct supervisor.
- Ensuring the availability of human, financial, and technical resources required to efficiently and effectively carry out operations and activities.
- Representing the department at specific events as assigned by the direct supervisor.
Specialized Tasks
- Supervising the preparation of policies, regulations, and organizational and technical procedures to develop departmental services in line with local and international best practices.
- Supervising the preparation and implementation of a comprehensive annual plan to deliver restoration services, technical processing, Central Archives organization, and access facilitation services, enhancing document preservation, ensuring accessibility, and improving the quality of archival services provided to entities and beneficiaries.
- Supervising the delivery of integrated reference and research services and ensuring the physical and digital preservation of archival materials through oversight of access, preservation, storage, restoration, and museum-style display in accordance with best professional standards.
- Supervising the provision of access and reference services to researchers and the public, ensuring ease of access to archival documents.
- Supervising the provision of advisory support on the effective use and utilization of archival materials.
- Supervising the organization of educational programs and interactive workshops to enhance archival awareness among different audiences.
- Supervising the organization of permanent and temporary exhibitions using innovative approaches that highlight the value of archival content.
- Supervising the maintenance of archive-related museums and ensuring their periodic readiness to receive visitors.
- Supervising the management of archival storage facilities and ensuring a safe, monitored preservation environment in accordance with approved standards.
- Supervising the provision of institutional storage services for government entities in a structured and secure manner.
- Supervising the preparation and implementation of long-term preservation strategies for paper and digital documents.
- Supervising the receipt of damaged documents from government entities and others, assessing their condition, and developing appropriate restoration plans.
- Supervising the execution of technical and technological restoration work in accordance with internationally approved document preservation standards.
- Supervising the preparation of periodic reports, including specialized and general institutional reports, ensuring effective oversight, governance of departmental operations, decision support, and performance improvement.
Required Qualifications and Experience
Educational Qualification:
Bachelor's or master's degree in Archival Science or Diploma, Information Management, Knowledge Management, Museum Studies, Library and Information Science, or a related field.
Years of Experience:
Bachelor's degree + 18 years of experience.
Master's degree + 16 years of experience in a similar field.
