Role Description
Job Purpose
To manage and control the preparation, verification, and settlement of vessel disbursement accounts related to port calls, ensuring accuracy, compliance with principal guidelines, and timely payments to vendors while supporting smooth vessel operations.
Key Responsibilities
- Disbursement Account (DA) Management
- Prepare Proforma Disbursement Accounts (PDA) based on estimated port costs, tariffs, and service provider quotations.
- Finalize Final Disbursement Accounts (FDA) after vessel's departure, ensuring all invoices and port charges are correctly captured.
- Ensure transparency and accuracy in cost allocation between owners, charterers, and operators.
2.Vendor & Service Provider Coordination
- Liaise with port authorities, terminal operators, bunkering companies, chandlers, tugs, and other suppliers for invoices and supporting documents.
- Negotiate competitive rates and resolve invoice disputes or discrepancies.
3.Financial Control & Compliance
- Ensure DA processing is compliant with principal instructions, company policies, and local regulatory requirements.
- Maintain cost control and highlight variances between PDA and FDA.
- Reconcile DA-related transactions and ensure timely vendor settlements.
4.Client & Principal Relations
- Communicate proactively with shipowners, charterers, and operators regarding port costs and expected variations.
- Provide detailed cost breakdowns and justifications when required.
- Support clients with budgeting, forecasting, and cost transparency.
5.Reporting & Documentation
- Maintain accurate financial records for each vessel call.
- Provide management with reports on DA turnaround time, cost trends, and outstanding balances.
- Support audits and ensure proper documentation for all DA transactions.
Skills & Competencies
- Strong knowledge of port agency operations, tariffs, and maritime services.
- Proficiency in accounting/finance principles.
- Attention to detail and strong analytical ability.
- Good communication and negotiation skills with vendors and principals.
- Ability to work under pressure with strict timelines.
- Proficiency in MS Excel, ERP/Agency systems.
- Ability to work on Tally (Oracle)
Qualifications & Experience
- Bachelor's degree in Accounting, Finance, Maritime Studies, or Business Administration.
- 3-5 years experience in vessel agency finance / accounting / DA Team.
- Familiarity with port tariffs, maritime regulations, and DA handling procedures.
- Experience in working with shipowners/charterers/ Vessel Agency companies is an advantage.
