Duties and Responsibilities:
- Manage and control all tender-related documentation, including prequalification documents, technical submissions, commercial submissions, and supporting records.
- Ensure proper document version control, numbering, formatting, and filing in line with company procedures and tender requirements.
- Maintain and update tender document registers, logs, and tracking sheets for all incoming and outgoing bid documents.
- Coordinate with estimation, technical, commercial, and management teams to collect required documents for tender submissions.
- Ensure that all tender submissions are compiled, formatted, and organized as per client instructions and deadlines.
- Check submitted documents for completeness, accuracy, and compliance with tender requirements.
- Maintain an organized electronic and hard copy filing system for all tender documents and correspondence.
- Track addenda, clarifications, and client communications during the tendering stage and ensure proper circulation to concerned teams.
- Assist in the preparation of prequalification submissions and company registration documents for new clients.
- Support the implementation of document control procedures in line with the company's Quality Management System.
- Handle printing, binding, scanning, and packaging of tender submissions when physical submission is required.
- Maintain confidentiality of all tender and commercial information.
Qualifications:
- Bachelors Degree in Administration/Commerce or a related field.
- Good understanding of tendering and prequalification documentation requirements in the construction industry.
- 3-5 Years of relevant work experience
