Job Summary
Value International Group, an engineering consultancy firm, is seeking a highly organized and detail-oriented
Document Controller to join the Quality Department. The successful candidate will be responsible for managing the complete document lifecycle, including receiving, registering, reviewing, updating, distributing, and archiving company and project documentation. The role ensures document integrity, accessibility, confidentiality, and compliance with the organization's Quality Management System (QMS) and established document control procedures.
Key Responsibilities
- Document Control
- Manage the receipt, registration, classification, distribution, tracking, retrieval, and archiving of company and project documents.
- Maintain document control registers, logs, and filing systems to ensure accuracy and accessibility.
- Ensure proper document numbering, version control, and revision management, ensuring that only approved documents are available for use.
- Prepare and issue document transmittals and maintain document distribution records.
- Remove obsolete or superseded documents from circulation and ensure proper document retention.
- Manage the document lifecycle in accordance with the company's document retention and archiving procedures.
- Quality Management & Compliance
- Ensure compliance with the organization's document control procedures and Quality Management System (QMS).
- Maintain controlled documents, including policies, procedures, forms, and quality records.
- Verify document numbering, formatting, and revision status before issuance and distribution.
- Support internal and external audits by providing accurate and complete documentation.
- Monitor document updates and ensure the latest approved revisions are available to all relevant stakeholders.
- Support the implementation and continual improvement of the document control process in line with ISO 9001 requirements.
- Coordination & Administrative Support
- Coordinate with internal departments to ensure timely submission, review, approval, and distribution of documents.
- Follow up on outstanding or overdue documents with the relevant stakeholders.
- Provide guidance to employees regarding document control procedures and best practices.
- Maintain secure electronic and physical filing systems while ensuring document confidentiality.
- Prepare periodic reports on document control activities and document status.
- Continuous Improvement
- Identify opportunities to improve document control processes and enhance operational efficiency.
- Support digital transformation initiatives related to electronic document management systems.
- Monitor document control KPIs and prepare performance reports as required.

Qualifications & Experience
- Bachelor's degree in Engineering or a related engineering discipline.
- Minimum 2–5 years of experience as a Document Controller within an engineering consultancy, construction, or project management environment.
- Experience managing engineering drawings, technical documentation, and project records.
- Good knowledge of document management systems such as Aconex, SharePoint, EDMS, or similar platforms.
- Familiarity with ISO 9001 requirements and document control best practices is preferred.
- Proficiency in Microsoft Office applications, particularly Word and Excel.
- Excellent command of English and Arabic, both written and spoken.
