Overview

The Executive Assistant plays a key support role, enabling the COO to focus on top priorities by managing time, information, and decision‑making effectively. The role helps reduce distractions and unnecessary work, ensuring attention remains on strategy, culture, governance, key stakeholders, and leadership development.

Key responsibilities

  • Provide full business administrative support including calendar management
  • Serve as the primary point of contact for internal and external constituencies
  • Coordinate COO Office business meetings
  • Manage logistics while traveling
  • Traffic-control and manage delivery and filing of physical and digital company documentation
  • Manage petty cash and expenses
  • Excellent presentation skills

Qualifications

  • Bachelor's degree in business administration or related field preferred

Knowledge

  • Good business acumen
  • Highly organized with impeccable attention to detail
  • Excellent writing and presentation skills
  • Naturally curious and growth-minded
  • Adaptable and can intuitively find resources and solutions to challenges
  • Able to function through ambiguity and can handle sudden changes in direction with ease

Technical Competencies

  • Competent user of Microsoft Office 365 Suite of tools and applications
  • MS Outlook and MS Power Point - advanced competency
  • MS Excel - intermediate competency or higher preferred
  • Digitally savvy – comfortable using every-day mobile and desktop applications

Experience

  • Strong work tenure; minimum of 5 years experience in a role supporting executives in a large or multi-national organisation
  • Demonstrated experience successfully coordinating initiatives (complex tasks, projects, programmes) with multiple contributors and executive stakeholders
