The IMS Resource Planner / Resource Administrator is responsible for the end-to-end coordination, planning, and allocation of Managed Services consultants within the organization. The role ensures optimal utilization through the PSA system, acting as the central point of contact for resource requests, availability management, and candidate selection discussions. This position serves as a key interface between delivery teams, team leads, the RMO Manager, and the Global RMO Lead.

Key Responsibilities

  1. Resource Planning & Allocation
  2. Manage and maintain accurate consultant availability profiles in the PSA system.
  3. Review incoming resource requests submitted in the PSA and validate completeness and clarity.
  4. Match resource requests to suitable consultants based on skills, availability, location, seniority, and assignment requirements.
  5. Prepare shortlists of qualified candidates for discussion with team leads and requestors.
  6. Ensure resource assignments are entered accurately and timely into the PSA system.
  7. Stakeholder Collaboration
  8. With RMO Manager
  9. Provide regular updates on allocation status, workload distribution, and upcoming demand.
  10. Escalate complex or conflicting allocation scenarios for guidance.
  11. Align on capacity planning, hiring needs, and skill gaps.
  12. With Global RMO Lead
  13. Support global resource management processes and adhere to global RMO governance standards.
  14. Participate in planning calls to provide offshore supply insights.
  15. Contribute to global reporting and metrics tracking (e.g., utilization, bench, forecast accuracy).
  16. With Team Leads / Delivery Leads / Service Operation Managers
  17. Collaborate in evaluating candidate suitability for requests.
  18. Gather feedback on consultant performance and use it to refine future allocations.
  19. Confirm final selections and coordinate assignment start dates and onboarding requirements.
  20. PSA System Administration & Data Quality
  21. Ensure resource profiles, skills, certifications, and availability calendars are continuously updated.
  22. Validate accuracy of booking extensions, end dates, and utilization metrics.
  23. Monitor data completeness and correct inconsistencies proactively.
  24. Generate reports for demand, supply, utilization, and upcoming bench.

  2. Produce weekly and monthly dashboards on:

  4. Bench capacity & aging
  5. Pipeline demand forecast
  6. Identify bottlenecks, skill shortages, or oversupply conditions and recommend action.
  7. Support quarterly capacity planning reviews.
  8. Operational Excellence & Continuous Improvement
  9. Contribute to improving PSA workflows and resource planning processes.
  10. Identify automation or efficiency opportunities within allocation and reporting tasks.
  11. Support onboarding of new consultants by ensuring proper setup in PSA and allocation readiness.
  12. Maintain documentation on RMO processes, guidelines, and best practices.

Candidate Profile

  • 25+ years in resource management, workforce planning, PSA administration, or service delivery coordination.
  • Experience in global or offshore delivery environments preferred.
  • Familiarity with managed services models and skills-based staffing.
  • Proficiency with Excel, dashboards, and resource management analytics.
  • Technical / Functional Competencies
  • Strong proficiency in PSA or similar resource management systems
  • Understanding of managed services workforce structures and skill-based allocation
  • Solid analytical skills for interpreting capacity, utilization, and forecast data
  • Ability to prioritize multiple requests and resolve allocation conflicts
