Job Description

Job Purpose

The Events Manager is responsible for managing end-to-end client communication and coordination for social, corporate, and destination events across Orascom Hotels Management. The role ensures a seamless client journey from initial inquiry to event execution, while maintaining high service standards, timely responses, and strong internal coordination, allowing the Director of Events to focus on strategic growth and portfolio development.

Key Responsibilities

Client Communication & Sales Handling

  • Act as the primary point of contact for assigned event clients from first inquiry until post-event follow-up.
  • Manage all client communications professionally via email, phone, WhatsApp, and in-person meetings.
  • Ensure a maximum response time of 48 hours for all client inquiries, proposals, and follow-ups.
  • Prepare, present, and explain event proposals, menus, venues, pricing, and packages in alignment with brand standards.
  • Proactively follow up on leads, pending decisions, and confirmations to maximize conversion.

Event Planning & Coordination

  • Coordinate all event details internally with F&B, kitchen, operations, finance, and hotel teams.
  • Translate client requirements into clear event briefs and function sheets for operational teams.
  • Ensure accuracy of event details including guest numbers, menus, setups, timelines, and special requests.
  • Support site inspections, tastings, and client walkthroughs when required.

Operational Support

  • Work closely with the Director of Events to ensure smooth handover from sales to execution.
  • Attend key events on-site when required to ensure client satisfaction and operational alignment.
  • Flag potential risks, last-minute changes, or client concerns early and coordinate solutions proactively.

Working Hours & Flexibility

  • Standard working hours are office-based; however, working hours may be adjusted according to the nature, timing, and operational requirements of events.
  • Flexibility is essential to support evening, weekend, or peak event periods when needed.

Administration & Reporting

  • Maintain accurate records of all inquiries, proposals, contracts, and confirmations.
  • Update event pipelines, trackers, and calendars on a daily basis.
  • Monitor response times and ensure service level compliance (48-hour reply rule).
  • Support basic reporting on inquiries, conversions, and confirmed events as requested by the Director of Events.

Brand & Service Standards

  • Represent Orascom Hotels Management with a professional, polished, and solution-oriented attitude.
  • Ensure all communication reflects the brand tone, quality standards, and commercial positioning.
  • Build long-term relationships with clients, planners, and partners to encourage repeat business and referrals.

Key Performance Indicators (KPIs)

  • Client response time (maximum 48 hours)
  • Lead-to-confirmation conversion rate
  • Client satisfaction and feedback
  • Accuracy of event details and internal coordination
  • Contribution to events revenue targets

Experience & Qualifications

  • Minimum 35 years experience in events sales, event management, or hospitality operations
  • Background in social events, weddings, or corporate events preferred
  • Hospitality or business degree is an advantage
  • Strong command of English
