Position Overview
The Events Manager is responsible for planning, organizing, and executing corporate and public events from concept through completion. This role ensures all events are delivered to a high standard, within budget, and aligned with the organization's objectives. The Events Manager collaborates with internal teams, vendors, and stakeholders to ensure seamless execution and exceptional attendee experience.
Key Responsibilities
Event Planning & Execution
- Plan, coordinate, and execute events such as conferences, workshops, exhibitions, corporate meetings, product launches, and social events.
- Develop detailed event plans, timelines, and checklists.
- Coordinate event setup, logistics, venue arrangements, branding, seating, audio-visual, theme design, and catering.
- Oversee on-site event execution, troubleshooting issues and ensuring smooth operations.
Vendor & Stakeholder Management
- Identify, negotiate, and manage suppliers (venues, catering, AV, theme design, entertainment, printing, transportation, etc.).
- Review and compare quotations to ensure cost efficiency and service quality.
- Maintain strong relationships with partners, sponsors, and key stakeholders.
Budget Management
- Prepare event budgets and manage expenses to ensure alignment with approved budget.
- Track spending, process invoices, and prepare post event financial summaries.
- Ensure cost effective solutions without compromising quality.
Marketing & Communication
- Collaborate with the marketing team to develop event promotional materials, social media content, and campaigns.
- Prepare guest lists, invitation letters, digital invites, and event communications.
- Coordinate branding, signage, and event collateral.
Risk & Compliance
- Ensure compliance with company policies, health & safety standards, and regulatory requirements.
- Assess and mitigate risks related to logistics, crowd management, and event operations.
- Prepare contingency plans.
Reporting & Post-Event Evaluation
- Conduct post-event evaluations, collect feedback, and prepare detailed reports.
- Recommend improvements for future events.
- Maintain an organized archive of event materials, budgets, contracts, and photos.
Administrative Tasks
- Manage events calendar and maintain event documentation.
- Coordinate internal communications and briefing materials for speakers and staff.
- Support senior management with VIP protocol arrangements when required.
Qualifications & Requirements
- Position open as part of Emiratization initiatives.
- Bachelor's degree in management, Hospitality, Marketing, Business Administration, or a related field.
- 57 years of proven experience in managing corporate or large-scale events (conferences, workshops, exhibitions, seminars, team building, etc.)
- Strong project management and organizational skills.
- Experience in budget management, vendor management, and logistics coordination.
- Flexibility to work evenings, weekends, or public holidays depending on event schedules.
