We are looking for an experienced Events Project Manager to oversee and structure the full lifecycle of assigned events projects from RFP review and pitch management to planning, execution, and live delivery.
This role is central to ensuring that proposals are structured, compliant, and submission-ready, and that awarded projects are strategically planned, properly resourced, and delivered according to scope and creative direction.
The Events Project Manager serves as the primary coordination point for Sales and internal teams, ensuring clarity, integration, and structured progression from opportunity stage to final delivery. This role focuses on integration, governance, and delivery management, not on creative or technical decision-making.
Key Responsibilities
Pitch Stage Management
- Review and analyze RFPs to break down operational, technical, compliance, and commercial requirements.
- Identify mandatory deliverables, submission criteria, and potential risks.
- Translate RFP requirements into structured internal action plans to ensure accurate and complete responses.
- Define event management requirements, including governance, reporting, resourcing, milestones, and delivery dependencies.
- Structure pitch decks and coordinate inputs from Creative, Production, Technical, Finance, and Operations teams.
- Manage final submission process and ensure proposals are coherent, compliant, and submission-ready.
Project Planning & Execution
- Develop detailed execution plans, roadmaps, milestones, and communication structures.
- Monitor scope, timelines, and operational budgets, escalating risks or deviations when necessary.
- Coordinate internal teams and suppliers to ensure smooth handovers, capacity management, and adherence to deadlines.
- Facilitate seamless transition from pitch stage to project execution.
Operational Flow & Live Event Management
- Manage operational flow on-site, including run-of-show, rehearsals, and readiness checks.
- Coordinate communication between producers, suppliers, and internal teams for smooth delivery.
- Support real-time issue resolution, escalating critical issues as needed.
- Ensure operational delivery aligns with approved creative direction.
Delivery Governance & Standards
- Maintain structured documentation and reporting across all project phases.
- Support post-event evaluation and continuous improvement through operational learnings.
- Identify and manage operational risks, supporting mitigation plans with relevant teams.
Qualifications & Skills
- Proven experience in event project management, preferably in large-scale or corporate events.
- Strong organizational and planning skills, with the ability to manage multiple projects simultaneously.
- Excellent coordination and communication skills to work across multiple teams.
- Detail-oriented with a strong focus on operational excellence and governance.
- Ability to anticipate risks, proactively manage dependencies, and escalate issues appropriately.
- Knowledge of event operations, logistics, and project management methodologies.
- Bachelor's degree in Business, Event Management, Hospitality, or related field preferred.
