The Opportunity
An established and rapidly expanding international business is looking for a highly organised Executive Assistant to support senior leadership across executive operations, administration, travel coordination, and business support functions.
This role is suited to someone who thrives in a fast-moving environment, enjoys solving problems proactively, and can confidently manage changing priorities while maintaining a high level of professionalism and discretion.
The successful candidate will play a key role in enabling leadership to operate efficiently across both strategic and day-to-day responsibilities.
Experience & Skills
- Proven experience in an Executive Assistant, Personal Assistant, or senior support position
- Strong background supporting senior stakeholders or C-suite executives
- Excellent organisational and time management skills with the ability to handle multiple priorities simultaneously
- Experience managing complex calendars, scheduling, and international travel coordination
- Strong written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information professionally
- Confident managing stakeholders across different departments and external partners
- Experience coordinating visas, documentation, and administrative processes within the UAE is advantageous
- Proficient in Microsoft Office, Teams, and digital collaboration platforms
- Strong problem-solving skills with a proactive and solutions-focused approach
- Comfortable working in a fast-paced, high-performance environment
- Flexible approach with the ability to support outside standard working hours when required
Key Responsibilities
Executive & Business Support
- Manage executive schedules, meetings, and business priorities
- Coordinate internal and external communications on behalf of senior leadership
- Prepare meeting agendas, presentations, reports, and briefing materials
- Track upcoming deadlines, commitments, and business priorities
- Ensure smooth coordination between leadership teams and key stakeholders
Travel & Lifestyle Coordination
- Organise end-to-end domestic and international travel arrangements
- Manage itineraries, accommodation, transportation, and visa requirements
- Support personal administration and lifestyle-related coordination where required
- Handle confidential correspondence and sensitive matters with discretion
- Resolve scheduling or operational issues efficiently and proactively
Operations & Administration
- Support office operations, workplace coordination, and vendor management
- Assist with facilities, supplies, and general administrative oversight
- Maintain organised records, documentation, and operational trackers
- Provide additional support during peak business periods and company initiatives
HR & Employee Coordination
- Assist with onboarding coordination and employee administration
- Support visa renewals, documentation processes, and compliance requirements
- Liaise with external providers and internal teams regarding operational matters
- Support general administrative tasks related to people operations
Events & Coordination
- Assist with company events, internal meetings, and team activities
- Coordinate suppliers, venues, schedules, and event logistics
- Help ensure events are delivered smoothly and within budget
- Support employee engagement and workplace culture initiatives
